Summary
The Department of Medicine is seeking an experienced Senior Research Administration Associate to manage the post-award processes for clinical trials. Will provide guidance to investigators, administrators and staff on all post-award activities including SAP transactions, industry sponsored programs budget and expense management, invoicing and compliance. The position requires excellent leadership skills, collaboration, and ability to advance the department's research mission.
This role is eligible for hybrid work schedule upon completion of training.
Employees with CRA certification are eligible for certification pay.
Job Duties
Budget Management
- Develop, review, and maintain clinical trial budgets in collaboration with study teams, sponsors, and investigators.
- Analyze protocol requirements to estimate costs and resource needs accurately.
- Monitor budget performance throughout the trial lifecycle, identifying variances and recommending corrective actions.
- PowerBI Reporting, SAP/S4 Reporting, Workday Adaptive for annual budgeting and forecasting, PEPT.
Revenue Reconciliation
- Track and reconcile clinical trial revenue against invoiced amounts and sponsor payments.
- Ensure timely and accurate billing in accordance with contract terms and milestones.
- Collaborate with accounting and grants management teams to resolve discrepancies and ensure proper revenue recognition.
- Maintain detailed records of financial transactions and sponsor communications for audit readiness.
- Prepare monthly and quarterly financial reports summarizing revenue status and outstanding receivables.
Forecasting & Financial Planning
- Develop financial forecasts for ongoing and upcoming clinical trials based on historical data, enrollment trends, and protocol complexity.
- Provide financial modeling to support strategic planning and resource allocation.
- Identify financial risks and opportunities across the clinical trial portfolio.
- Present forecasting insights to leadership and stakeholders to inform decision-making.
- Contribute to annual budget planning and long-term financial strategy for the clinical research department.
Compliance
- Ensure financial practices align with institutional policies, sponsor agreements, and applicable federal regulations (e.g., NIH, FDA, CMS).
- Collaborate with regulatory and research administration teams to ensure adherence to clinical trial billing compliance standards.
- Monitor changes in regulatory requirements and implement necessary updates to financial processes.
- Participate in internal audits and assist in resolving any identified compliance issues related to clinical trial finances.
- Perform other job-related duties as assigned.
Minimum Qualifications
- Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
- Four years of relevant experience.
