We are seeking a Senior Coordinator, Program Management to provide high-level administrative and programmatic support for key initiatives, including the SMART Summer Research Program, the BRASS PhD Scholars Program, and other PhD training programs. This role is essential to the smooth operation and continued success of these programs, ensuring a positive experience for students, faculty, and partners.
This is a hybrid position, requiring three days onsite and two days remote each week.
Job Duties
• Assists with the recruitment, marketing, and onboarding of MS, PhD and SMART programs.
• Makes room reservations, catering, scheduling speakers, audio visual requests, facilities, etc. for orientations, seminars, special events, committee meetings, and workshops for SMART and PhD programs.
• Assists with the design and updates to the program websites.
• Coordinates the SMART student applications, admissions, and onboarding process.
• Creates reports, tracks documents, and gathers data for the MS and PhD admissions and provides support to the GSBS admissions office.
• Coordinates the BRASS scholarship application process, schedules meetings, and provides administrative support for BRASS events.
• Coordinates and approves time sheets for SMART students in SuccessFactors.
• Maintains SMART and BRASS programs student application databases.
• Coordinates the tuition reimbursement process for training awards and fellowships for all graduate students.
• Composes routine letters and correspondence, creates PowerPoint presentations, spreadsheets, and prepares other documents.
• Tracks and maintains the financial commitment forms for the PhD programs.
• Orders supplies and process purchase orders and requisitions in Jaggaer, and journal entries and cash deposits in S4.
• Processes pre-travel authorizations and manages travel arrangements and reimbursements in Concur.
• Maintains computer equipment inventory list and provides technical assistance to GSBS program staff and faculty for individual and shared office equipment inspections, setup, and troubleshooting. Submit requests to remove obsolete and broken equipment, contacts IT, and process facilities work requests.
• Coordinates the dissertation binding process for graduating students.
• Serves as a liaison with purchasing, accounts payable/receivable to ensure timely and efficient processing of orders and payments.
• Performs other job-related duties when requested.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
• Bachelor’s degree.
• Four years of relevant work experience.
• Proficiency in Microsoft Excel.
