Summary
The Pediatrics Pulmonology Division is seeking a Senior Coordinator, Business Operations to provide comprehensive administrative and logistical support to the Division Head & Service Chief. This individual will work closely with the BCM Business Operations Manager and TCH Practice Administrator while serving in a significant role for Division Administration. The position will provide and lead support for one of the largest Pediatric Pulmonology Programs in the nation and will be a key driver in its human resources and financial operations.
Job Duties
- Provides comprehensive administrative support for the Division Head & Service Chief of Pediatric-Pulmonology: Responsible for managing calendars, including making appointments, travel, conference, and lecture planning. Acts as central point of contact for the Division Head across institutional leadership, and internal and external customers.
- Plans department meetings, including: advisory board meetings, division business meetings, professional development retreats, strategic planning initiatives, special events, and other business unit functions.
- Uses systems such as PowerBI, Jaggaer, SAP, and Success Factors to collect information and prepare reports.
- Works closely with the BCM Business Manager and TCH Practice Administrator for space planning requirements, environmental issues, and other facilities requirements.
- Designated BCM Success Factors HR Coordinator. Will have access to Division Positions and Job Requisitions; will process personnel related transactions.
- Assists with Pediatrics HRMS requests, Physician Compensation salary recommendation requests, Faculty Employment Agreements, and TCH Physician Services operations.
- Faculty on-boarding and credentialing: Responsible for preparing and submitting BCM Faculty Appointments, and oversight of credentialing at multiple hospital locations for Faculty and Clinical Instructors.
- Serves as designated Concur & Jaggaer Delegate & Pre-Reviewer for Division Head & Division Administrator.
- Pre-Reviewer and Approver for Concur Expense Reports and Travel Requests.
- Leads Scheduling & Supplemental Payment processes for all campuses; creates and manages reports for tracking physician schedules and hours worked.
- Monitors and reconciles statements of accounts, and maintains financial dashboards for both BCM & TCH Accounts.
- Prepares budget revisions requests under the guidance of the Division Administrator.
- Processes Independent Contract Agreements (ICA’s) and third party Vendor Requests (domestic and international).
- Provides support to other administrative team members, including training on new processes, scheduling meetings, preparing travel requests and expense reports and planning division events for well-being and other celebrations.
- Provides additional operational support to division leadership as needed.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor's Degree.
- Prior executive level administrative support experience.
- Accounting or Finance knowledge.
