Summary
The Scott Department of Urology is seeking a highly organized and proactive professional to deliver advanced administrative support to department leadership, faculty, and academic programs. In this role, you will play a critical part in ensuring day-to-day operations run smoothly by coordinating complex calendars, managing travel logistics, scheduling meetings, and preparing professional correspondence.
Beyond administrative coordination, this position contributes to the department’s overall success by supporting financial workflows and collaborating closely with central administrative teams. The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and brings a collaborative, service-oriented approach to supporting both clinical and academic initiatives.
Job Duties
Executive & Leadership Support
• Maintains Chairmans meetings and events, including onboarding faculty.
• Prepares and routes grant and purchasing contracts/agreements for Chair approval.
• Prepares memos, meeting agendas, general correspondence, graphs, and PowerPoint presentations.
• Coordinates department meetings, events, retreats, and other departmental functions.
• Assists with Chairman meetings and events (cross collaboration with Executive Support).
Faculty Call Scheduling & Clinic Management
• Develops and maintains faculty call schedules, coverage, and pay reimbursement.
• Organizes and manages the Urology clinic, surgery, and professional schedules for multiple faculty.
• Coordinates and schedules departmental and faculty meetings.
• Utilizes the EPIC system for clinical, clerical, and professional incidents.
Credentials & Academic Record Management
• Processes and maintain credentialing for faculty at BCM and affiliated healthcare institutions.
• Manages faculty reappointments and renewals.
• Updates faculty CVs.
• Assists with tracking documentation of training and educational activities.
Finance & Business Operations
• Assists with departmental business and financial processes (compiling, reviewing, reconciling financial accounts).
• Manages travel arrangements and reimbursements for faculty (flights, hotels, car service).
• Submits travel and non-travel expenses for reimbursement.
• Assists with departmental business and financial processes (compiling, reviewing, reconciling financial accounts).
Other
• Performs other job-related duties as assigned.
• Assists with daily operations of education program (clerkship).
• Manages and maintains MS4 elective rotations.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Experience working in higher education or academic setting.
- Proficiency in Microsoft Office.
- EPIC and Q-Genda experience preferred.
