Summary

The purpose of this position is to provide support by leading and coordinating projects for the assigned departments. Serves as the primary point of contact for assigned departments faculty and staff regarding general business questions. Primary point of contact for recruitment of assigned departments including coordinating candidates visits and onboarding. Administrator of Qgenda for assigned departments including updating faculty and schedules as needed. In charge of coordinating Visa process with BCM ISO office, serve as primary contact for faculty Visa processing and renewals. Coordinate and process faculty appointments and promotions for assigned departments, act as liaison with BCM Faculty Affairs and CHoSA medical staff services office.

Job Duties

  • Recruitment: Manage recruitment for assigned departments including being primary contact person for faculty candidates, develop candidate’s visit interview agenda and arrange logistics such as travel and lodging. Maintain list of active candidates for assigned departments, collect post-interview evaluations and submit to leadership. Follow up with candidates’ post-interview to answer any benefits/employment questions. Coordinate and manage onboarding for new faculty recruits for assigned departments.
  • Operational Support: Manage faculty calendars, secure travel arraignments, submit reimbursements, schedule meetings, maintain and update department/sections rosters, distribute mail and screen calls, submit IT tickets or office work orders, provide coverage in coordinator’s absence and other office and support related duties as necessary. Call Roster, QGenda.
  • Vacation: Act as the primary person to manage Qgenda for assigned departments. Publish monthly call schedules, ensure faculty are entering their time off request in the system, add and remove new and departing faculty from Qgenda, ensure workflows in the system are being reviewed and updated on a quarterly basis based off of faculty and clinical changes, ensure SuccessFactors’ IDs are being entered into QGenda, ensure this system is being utilized by faculty.
  • Faculty Appointments / Visas: Coordinate and submit documentation needed to process faculty appointments and promotions for assigned departments. Liaison with BCM Faculty Affairs and faculty member to meet submission deadlines for promotion. Manage guest accounts for collaborators, students and voluntary appointments for assigned departments/sections. Coordinate with ISO office in BCM regarding candidates’ new visa processing or faculty visa renewals. Track application through legal office or ISO to ensure meeting deadlines.
  • Coordinate with Faculty Affairs office to post positions if needed. Liaison between faculty, candidates, immigration attorneys and ISO.
  • Coordinate and submit documentation needed to process faculty appointments and promotions for assigned departments.
  • Liaison with BCM Faculty Affairs and faculty member to meet submission deadlines for promotion. Manage guest accounts for collaborators, students and voluntary appointments for assigned departments/sections. Coordinate with ISO office in BCM regarding candidates’ new visa processing or faculty visa renewals.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's degree.
  • Experience in an academic and/or healthcare setting.
