Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Department of Neurology at Baylor College of Medicine is seeking a highly motivated Research Administration Specialist. This role will contribute to the implementation of post-award activities including progress reports, research reporting, and effort allocation. Additionally, this position will cross-train and serve as a back-up to the pre-award research administrator including grant submissions and budgeting. The ideal candidate will be able to leverage previous experience to implement new and updated processes to support our research missions.

Job Duties


70% Research Administration: 

  • Develop and adhere to grant project timelines, including internal BCM submission deadlines.  
  • Create and present grant reports to PIs on a quarterly (or monthly) basis. 
  • Assemble and compile information for annual progress reports, renewals, resubmissions, extensions, and new grants to the National Institute of Health (NIH). 
  • Submit required annual and stewardship reports to research sponsors. 
  • Monitor financial research-related transactions and activities by compiling, reviewing, and reconciling grant and research accounts. 
  • Review expenditures from fund sources to verify accuracy, need, and compliance. 
  • Maintain organized and accurate records for each grant account, including applications, revenue checks, communication with sponsor, etc. 
  • Prepare and maintain other support documents for faculty members, as needed. 
  • Follow NIH guidelines to close out awards in a timely and compliant manner. 
  • Cross-train to support the pre-award grant cycle including the development, review, and submission of grant and funding applications. 

20% Research Operations:

  • Completes and maintains Postdoctoral appointments for the research labs. 
  • Processes visa applications for all lab-based visa holders and requesters. 
  • Creates Purchase Orders and approves procurement requisitions for research-related supplies and equipment. 
  • Provides Concur support for PIs including approvals and policy guidance for allowable grant expenses. 
  • Supports safety standards and quality assurance within the wet labs.

10% Special Projects:

  • Facilitates meetings, events, seminars, and other functions for research PIs. 
  • Perform other job-related duties as assigned. 

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor’s degree.
  • Certified Research Administrator certification through the Research Administrators Certification Council (RACC).
