Salary Range:  $63,052 - $74,178
FLSA Status:  Nonexempt
Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Senior Coordinator, Procurement-Travel and Credit Card Programs serves as a Concur Administrator and subject matter expert for Baylor College of Medicine's travel and corporate card programs.  This role ensures compliance with institutional policies and regulations, is the Managing Administrator in Concur, and is the liaison between faculty, staff, and the college's travel management company.   This position plays a critical role in ensuring accurate, efficient, and policy-compliant travel and card operations.

Job Duties

Key Responsibilities

  • Performs Concur Managing Administrator functions for the college's travel system and manages support for all aspects of the college's credit card program.
  • Maintains relationships with corporate card providers (e.g., Bank of America) and collaborate with Concur support on issue resolution and process improvements.
  • Manages and supports all aspects of the College’s travel and card programs through the Concur travel and expense system. 
  • Serves as the primary contact and subject matter expert for administrators, faculty, staff, executives, and guests regarding travel and card processes.
  • Trains and advise users on travel and card program requirements, institutional policies, and Concur system functionality.
  • Audits travel and expense reports to ensure compliance with College policies and federal, state, and local regulations.
  • Sets up and maintains employee profiles in the Travel and Expense system.
  • Coordinates routing and approval workflows with department leadership.
  • Oversees travel authorizations and facilitate bookings in collaboration with the Travel Management Company.
  • Develops, updates, and distributes training resources and program documentation.
  • Identifies and implements opportunities for program enhancements and process efficiency.

Cross-Functional Procurement Responsibilities

  • Supports procurement activities such as sourcing materials, developing RFPs, analyzing vendor bids, and managing suppliers.
  • Reviews and approves requisitions in Jaggaer.
  • Interprets and communicates Uniform Guidance and other procurement-related regulations within an educational, research, and clinical environment.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience as a Concur Managing Administrator and extensive experience operating within travel and expense tools.
  • Strong communication and presentation skills with the ability to engage diverse audiences.
  • Proven ability to identify process improvements and lead related initiatives.
  • Knowledge of procurement regulations and practices in higher education or healthcare environments.
  • Strong organizational skills and attention to detail.
  • Ability to collaborate effectively across departments and with external vendors.
