Summary
The Senior Coordinator, Procurement serves as a subject matter expert overseeing Baylor College of Medicine's travel and corporate card programs. This role ensures compliance with institutional policies and regulations, provides training and support to travelers and administrators, and manages processes within the Concur Expense Management system. Acting as a liaison between faculty, staff, and the college's travel management company, this position plays a critical role in ensuring accurate, efficient, and policy-compliant travel and card operations. Additionally, the Travel and Card Programs Administrator may support broader procurement functions, including vendor management and sourcing activities.
Job Duties
Key Responsibilities
- Manage and support all aspects of the College’s travel and card programs through the Concur travel and expense system.
- Serve as the primary contact and subject matter expert for administrators, faculty, staff, executives, and guests regarding travel and card processes.
- Train and advise users on travel and card program requirements, institutional policies, and Concur system functionality.
- Audit travel and expense reports to ensure compliance with College policies and federal, state, and local regulations.
- Set up and maintain employee profiles in the Travel and Expense system.
- Coordinate routing and approval workflows with department leadership.
- Oversee travel authorizations and facilitate bookings in collaboration with the Travel Management Company.
- Develop, update, and distribute training resources and program documentation.
- Maintain relationships with corporate card providers (e.g., Bank of America) and collaborate with Concur support on issue resolution and process improvements.
- Identify and implement opportunities for program enhancements and process efficiency.
Cross-Functional Procurement Responsibilities
- Support procurement activities such as sourcing materials, developing RFPs, analyzing vendor bids, and managing suppliers.
- Review and approve requisitions in Jaggaer.
- Interpret and communicate Uniform Guidance and other procurement-related regulations within an educational, research, and clinical environment.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Strong communication and presentation skills with the ability to engage diverse audiences.
- Proven ability to identify process improvements and lead related initiatives.
- Proficiency in Concur travel and expense management tools.
- Knowledge of procurement regulations and practices in higher education or healthcare environments.
- Strong organizational skills and attention to detail.
- Ability to collaborate effectively across departments and with external vendors.
