Summary
The Department of Medicine at Baylor College of Medicine is seeking an experienced Business Operations Supervisor to oversee and support the day‑to‑day administrative and operational functions of several divisions within the Department of Medicine. This role provides direct supervision to a team of Business Operations Coordinators responsible for purchasing, faculty support, and general operations. The supervisor ensures consistent execution of departmental processes, adherence to institutional policies, and timely completion of business functions, and faculty support activities. The position is responsible for developing efficient procedures, monitoring workload expectations, and fostering a collaborative, service‑oriented environment that supports faculty, staff, and departmental leadership.
Job Duties
Supervision and Team Leadership
- Manage the daily operations of the unit, ensuring efficient workflow across purchasing, faculty support, and general administrative processes.
- Supervise a team of Business Operations Coordinators, including assignment of tasks, monitoring workloads, checking work for accuracy, and maintaining schedules.
- Provide coaching, guidance, and regular feedback to support staff development, accuracy, and efficiency of work processes.
- Ensure policies, procedures, and department expectations are clearly communicated and consistently followed by the team.
Faculty Support
- Oversee coordination of faculty administrative support, ensuring timely assistance with meeting logistics, reimbursements, purchasing, onboarding tasks, and award or grant related needs.
Purchasing and Financial Processing
- Ensure the team processes purchase orders, reimbursements, invoice payments, and vendor interactions accurately and efficiently.
- Serve as a resource for purchasing policy interpretation and troubleshooting.
Process Improvement and Compliance
- Evaluate existing workflows and identify opportunities for process improvements to enhance productivity and service quality.
- Develop and document standard operating procedures for recurring business tasks.
Collaboration and Communication
- Maintain effective communication with faculty, staff, institutional partners, and departmental leadership to support smooth daily operations.
- Represent the business operations team in meetings, initiatives, and special projects as assigned.
Perform other job-related duties as needed to ensure uninterrupted business operations.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor’s degree.
- Experience in academic medicine, healthcare, or higher education.
