Summary

This role will primarily focus on pre-award activities. The Senior Research Administration Associate manages the pre-award / post-award grant support process for the Research Resources Office in the Department of Pediatrics.  Serves as a source of expertise for federal, state, industry, and private foundation application and award policies.  Will also develop budgets and applications, provide award financial management and reporting, and manage cost & effort allocations and effort reporting.  

Job Duties

  • Recommends improvement to, and changes in operations to increase effectiveness and efficiency.  
  • Provides grant program expertise, financial expertise, and guidance related to sponsored research to leaders and faculty.
  • Provides guidance and support to faculty submitting grant application in the College’s electronic Biomedical Research Assurance Information Network (BRAIN).  
  • Prepares applications in ASSIST, Workspace, and other federal and non-federal grant application portals.
  • Reviews and analyzes current protocols, faculty-staff communication, and quality of the submission process; makes recommendations for process revisions and leads implementation of changes as appropriate.
  • Negotiates industry-sponsored contracts, including clinical trial agreements, sponsored research agreements, and material transfer agreements. 
  • Consults with faculty regarding funding opportunities, eligibility, and application requirements for sponsored funding. 
  • Contributes to the preparation of budget for grant quarterly/biannual/annual reporting purposes.
  • Monitors compliance and training requirements for application submission and funding.
  • Prepares outgoing subcontracts and reviews incoming subcontracts.
  • Responsible for cost and effort allocations in SAP for research faculty, employees, and learners.
  • Pre-reviews time and effort records for the Section(s) in the Effort Reporting System (ERS) prior and manages the record certification process.
  • Performs all post-award activities as necessary (including account set up, expense reporting, grant close out).
  • Approves and monitors financial transactions and activities of faculty grant accounts.
  • Reviews and reconciles financial activities on all grant accounts with Section(s) on a monthly basis and routinely meets with PI to ensure accuracy of activity posting to accounts.  
  • Reviews and reconciles default accounts on a monthly basis.  
  • Works with Grants & Contracts accounting to verify and finalize expenses at the end of each project budget year.
  • Oversees or performs necessary check requests/journal vouchers/ transfers etc. as necessary.
  • Ensures compliance with all federal, sponsor, and institutional policies and guidelines and serves as a liaison between faculty, Baylor College of Medicine, and sponsors. 
  • Serves as grants liaison between faculty, Baylor College of Medicine, national and international institutions, and/or federal/private funding agencies.

 

Minimum Qualifications

  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's degree, preferably in business, finance or accounting related field.
  • Experience and advanced knowledge in grant application development, budgeting and grant financial management.
  • Working knowledge of sponsor application submission systems such as ASSIST, Workspace, and Proposal Central.
