Job Purpose

Assists with oversight and provides support for the administrative and financial operations of a research study or clinical trial. Participates in pre- and/or post-award grant management activities.

Job Duties


  • Creates and submits BRAIN proposals for grant applications, renewals, NCE, and amendments.
  • Prepare budgets for proposed studies.
  • Assists faculty to set up incoming clinical trials.
  • Negotiate industry agreements & budgets.
  • Create industry invoices and manage accounts receivable.
  • Manage post-award activity (validate expenditures; prepare and reconcile financial reports).

Post-Award management

  • Manage monthly effort - gather, organize, calculate, distribute, discuss/resolve issues, enter, make adjustments to effort and prepare effort reports.
  • End date reminders.
  • Approve and monitor expenses on all projects.
  • Balance inquiries.
  • NCE/renewals.
  • Monthly Balance Reports.
  • Performs changes in cost/effort distribution as needed.
  • Creates new accounts for research awards.
  • Completes grant-close out procedures, final FSR Approval for all GI Accounts.
  • Performs open records requests (PACT forms) as needed.


  • Responsible for incoming and outgoing subaward contracts and amendments.
  • Approves subaward invoices for payment for GI & tracks balances.
  • Work with OOR to issue new subcontracts.
  • Review, audit, and approve subcontract invoices.
  • Invoices primary institutions for charges under division-invoiced subcontracts for faculty and work with Finance-Grants to create invoices for general subcontracts.
  • Primary contact to initiate industry-sponsored contracts, including CTAs, MTAs, and other agreements.
  • Disseminates key information on funding opportunities.
  • Assists department faculty with biosketches, other support documents.
Minimum Qualifications
  • Education Required: Bachelor's degree.
  • Experience Required: Four years of relevant experience.
  • Certification/Licenses/Registration: None Required.
