Summary
The Department of Medicine at Baylor College of Medicine is seeking an experienced and detail-oriented Senior Research Administration Associate to join our multi-section team. The Senior Research Admministration Associate will be responsible for the comprehensive administrative and financial management of a complex program project/center grants. This role involves managing the full grant lifecycle for multiple core services and pilot projects, ensuring compliance with all institutional and NIH policies. The ideal candidate will provide expert guidance and proactive solutions to complex grant issues.
This role is eligible for hybrid work schedule upon completion of training.
Employees with CRA certification are eligible for certification pay.
Job Duties
- Work closely with Center and Core Directors to oversee administrative and financial aspects of H-NORC core operations, including coordination of pilot grant programs, budget tracking, progress reports, and related compliance requirements.
Pre-award
- Proposal development - Work closely with the Center Director and Core Leaders to develop, prepare, and submit renewal and new grant proposals
- Budgeting - Manage the creation and review of budgets, including sub-awards for multiple departments and institutions
- Collaboration - Serve as point of contact between the Office of Research (OOR), sponsors, PIs, collaborating institutions
- Compliance review
- Ensure all proposals comply with federal regulations, sponsor guidelines, and institutional policies
- Coordinate the review and approval of required compliance components such as human subjects, animal subjects, and financial conflicts of interest.
- Application submission - Review and approve grant application proposals for sections assigned in the College's electronic Biomedical Research and Assurance Information Network (BRAIN).
- Continuous Learning - Attend workshops on research administration for continued education and contribute to the development and improvement of the pre-/post- award management process
Post-award
- Financial oversight - Provide financial management for the complex grants, including creating financial reports, monitoring expenditures across multiple cores and sub-projects, and recommending budget adjustments
- Core service management - Manage the administrative operations for the Center's core services, including budget allocation, tracking usage, and billing
- Effort reporting - Manage the effort reporting and certification process ensuring compliance with federal regulations
- Reporting - Prepare and submit progress reports and other required documentation to the NIH
- Perform other job-related duties as assigned
Minimum Qualifications
- Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
- Four years of relevant experience.
Preferred Qualifications
- Experience in sponsored research administration, with experience managing complex NIH grants (P30, P01, U-awards)
- Good communication/interpersonal skills, accountable, organized, self-motivated, team player, works well under pressure, multitasking
- Strong project management skills
- Certified Research Administrator (CRA) or similar professional certification is highly desirable
