Summary
Senior Research Administration Associate provides subject matter expertise in clinical research billing compliance, sponsor invoicing, and financial reconciliation. Responsibilities include reconciliation of research billing activity, management of sponsor invoicing, and ensuring alignment between protocol requirements, coverage analysis determinations, and institutional billing practices. Advanced post-award role working with clinical research financial management and billing compliance.

Job Duties
Billing Compliance & Patient Account Reconciliation
- Identify opportunities to improve billing workflows and contribute to the development and maintenance of clinical research billing procedures and best practices.
Sponsor Invoicing & Post-Award Financial Management
- Develop and manage sponsor invoicing for clinical trials based on contract terms, protocol activity, and milestone requirements.
Coverage Analysis & Pre-Award Collaboration
- Serve as a resource for interpreting coverage analysis determinations and ensuring appropriate charge routing within institutional billing systems.
Cross-Functional Collaboration & Institutional Support
- Collaborate with investigators, providers, research staff, and institutional departments to support compliant billing and financial management of clinical research activity.
- Serve as a subject matter expert on clinical research billing compliance, including interpretation of coverage analysis determinations and appropriate routing of research-related charges.
- Review clinical research billing activity within Epic and other institutional billing systems to ensure charges are supported by protocol requirements and coverage analysis documentation.
- Maintain financial documentation supporting invoicing activity, payment tracking, and reconciliation of clinical trial accounts.
- Assist with the development and implementation of standardized CTMS invoicing templates, reconciliation trackers, and financial management tools.
- Manage complex clinical trial financial portfolios involving multiple sponsors, milestone-based payments, and institutional billing systems.
- Perform other job-related duties as assigned.
Minimum Qualifications
- Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
- Four years of relevant experience.
Department Specific Criteria
- Must have experience with clinical research, clinical trial finance, and/or grant management.
- At least 2 years of clinical research experience.
- Strong attention to detail, analytical ability, and adherence to policies and regulations.
- Excellent professional communication skills; able to explain billing concepts clearly to non-financial staff.
- Strong organizational skills, follow-through, and ability to work independently and as part of a team.
Preferred Qualifications
- Oncology experience.
- Experience in clinical research billing, compliance, or post-award finance.
- Knowledge of CPT and ICD-10 coding (oncology coding experience is a plus).
- Experience with Epic EMR, OnCore Clinical Trial Management System, and related billing tools.
- Ability to read and interpret medical records, charge documentation, and protocol-required procedures.
- Strong attention to detail, analytical ability, and adherence to policies and regulations.
- Excellent professional communication skills; able to explain billing concepts clearly to non-financial staff.
- Strong organizational skills, follow-through, and ability to work independently and as part of a team.
