Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Senior Research Administration Associate is responsible for the pre-award and post-award financial management activities of clinical trials within the Pediatric section of Child Neurology and the Blue Bird Clinic. This position ensures accurate and compliant handling of all financial activities, pre-award tasks such as cost analysis and budget development, as well as post-award responsibilities like invoicing, payment tracking, account reconciliation, and financial reporting. The position is an important link between investigators, sponsors, and internal teams to ensure compliance with institutional and federal regulations while maintaining financial accuracy and transparency. The position plays a key role supporting clinical research that advances patient care and scientific innovation.

 

 

After initial training and onboarding, the position is a hybrid role typically working 2 days in office. Office hours are 8-5PM (+/- 1 hour).

 

Employees with CRA certification are eligible for certification pay.

Job Duties

  • Manages complex contract portfolios for the Pediatric Neurology section.
  • Prepares annual BCM contract budget for Pediatric Neurology and Blue Bird.
  • Prepares budgets for pre-award applications to sponsors and ensures accurate routing through the College’s electronic Biomedical Research and Assurance Information Network (BRAIN).
  • Prepares detailed cost assessments for industry sponsored clinical trials and investigator initiated studies.
  • Produces monthly financial reports for section chief, section administrator, faculty, and leadership as requested using SAP accounting software, BRAIN, Clinical Trial Management System (CTMS) and/or contract tracking data.
  • Provides pre and post-award administration support to faculty within the section of Pediatric Neurology.
  • Reconciliates and monitors clinical trial accounts including closeout to ensure timely reporting per sponsor guidelines.
  • Consults with faculty regarding funding opportunities, eligibility, and application requirements.
  • Invoices industry sponsors in a timely manner to ensure payment. 
  • Prepares outgoing subcontracts and reviews incoming subcontracts.
  • Manages the expense activity and account balances and tracks the general revenue and other income deposits for all section cost centers: includes salary and fringe accounts, section operation fund, sponsored research and various donor accounts.
  • Reviews research expenditures to ensure accuracy and appropriateness prior to billing sponsor.
  • Maintains the budget section in clinical trial management system.
  • Responsible for pre-reviewing effort records in the Effort Reporting System.
  • Analyzes and manages clinical trial budgeting, billing and revenue processes. 
  • Performs other job-related duties as assigned.
     

Minimum Qualifications

  • Bachelor's degree.  Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience with clinical trials, budget and contracts in an academic research setting
