Summary

Directs and oversees the administrative operations of the Student Affairs unit within the School of Medicine (SOM). This position works collaboratively with the Deans of Student Affairs to oversee all facets of the Student Affairs Office including finance and budget, staff management, program management, process development, event management, leadership interface, student activities, and day-to-day activities of the office.

This position may be eligible to work a hybrid work arrangement within the Greater Houston, TX area after an initial training period.

Job Duties

Overall leadership
•    Develops a mastery level of subject matter expertise and skills that is required to provide vision and guidance in the overall management of the Student Affairs Office.
•    Leads and advises Deans and faculty in managing the strategic planning and objectives of the educational unit that aligns with the overall Education Mission.
•    Partners with Deans/Faculty leadership to develop and implement standards, policies, guidelines, and techniques to manage all aspects of the office.
•    Critically and continuously evaluates processes within Student Affairs to provide a vision for innovative improvements.
•    Collaborates with leaders of other educational units across the college such as Diversity and Student Services, Registrar, business operations, and academic departments to achieve the needs of the office. 
•    Serves as a representative leader of their educational unit for the SOM, Institutional initiatives as well as on a national representational level.
•    Partners with SOM leadership and staff for oversight of the administration of student affairs at the Temple Regional Campus.

 

Operational leadership
•    Manages and provides oversight of the operational and administrative needs for all programs, events, and projects within the Student Affairs division.
•    Oversees and directs the administrative and management needs of the educational unit by working with the Student Affairs staff.
•    Supervises educational unit staff and serves as the director of administrative responsibilities for direct reports including performance evaluations, mentoring/training, and dissemination of responsibilities during peak times of the year to ensure proper support to all positions.
•    Responsible for all projects/initiatives within Student Affairs as assigned by the SA office, SOM Office, or the College.
•    Manages all Student Affairs space and related needs.
•    Serves as the support for all staff on project/program management, event planning, and all assigned tasks. 

 

Financial leadership
•    Responsible for financial operations including budget development, monthly monitoring, and management/financial reporting for all Student Affairs accounts.
•    Works within the College’s systems to manage to the annual budget, provide thoughtful forecasts for spend and clearly communicate financial status and needs to Student Affairs and SOM leadership. 
•    Responsible for working with the Deans on the assignment and related communication of teaching assignments and dollars.
•    Manages the day-to-day procurement via SAP/Concur/SRM programs for all office needs with the staff team.
•    Acts as the approver for all financial transactions from the Office of Student Affairs. 
•    Serves as the support on financial transactions for all staff. 
 

Minimum Qualifications

  • Bachelor's degree.
  • Five years of relevant experience.

Additional Qualifications and Skills

  • Master's degree and three years of relevant experience will also be considered
  • Project Management experience
  • Knowledge of modern education processes and standards that pertain to higher education
  • Overall finance and operations management
  • Strong leadership skills and ability to take ownership of the Student Affairs Office
  • High-level interpersonal, conflict resolution, communication, and consultation skills
