Summary

Senior Manager, Business Operations will serve as the administrative leader for the day-to-day operations of the Department of Pediatrics - Section of Tropical Medicine and the National School of Tropical Medicine (NSTM) at Baylor College of Medicine. Position works closely with the co-section heads to manage the daily operations of the section, its vaccine center and the school, as well as the central administrative group of Pediatrics.

Job Duties

Financial Administration

  • Preparation of annual operational and research budgets for the section, vaccine center and NSTM.
  • Financial reporting and forecasting for faculty members and departmental and section leadership.
  • Monitor expenditures for all accounts relative to budgetary forecasts, track and monitor direct recoveries and expenses.
  • Review and approve all check requests, reimbursements, etc. in Concur and SAP.
  • Approve and monitor all purchases and expenditures for the section, vaccine center and NSTM.
  • SAP - financial reporting activities, etc.

Grants and Contracts Administration

  • Assist grants manager (as needed) in the pre- and post-award grants and contracts administration for the section, vaccine center and NSTM (Federal, State, gift, contracts and local/national/international awards).
  • Request new accounts for donor, intramural and extramural funding. Compile and submit budget revisions, open records requests and submit contract review forms.

Cost and Effort Management

  • Allocate faculty and staff costs and efforts across a variety of funding sources.
  • Monthly reviews to ensure efforts are accurate and appropriate for the funding source/award.
  • Ensure section, department and college required quarterly effort reporting is completed before deadline.
  • Employee Relations/Supervision
  • Oversee and supervise all section, vaccine center and NSTM administrative staff.

  • Process all personnel actions (hiring, FTE changes, merit increases, promotions, and terminations) for faculty and staff.
  • Process visa applications for international applicants, visitors, research scholars, etc.
  • Facilitate security and facility access (including ID badges, access badges/keys, and network accounts) for faculty, staff and visitors at BCM and Texas Children's Hospital.
  • Create and submit sponsored guest accounts for research observers, adjunct faculty, etc.
  • Compile and submit independent contractor agreements for international and domestic contractors.
  • Request phone and voicemail set up for faculty and staff.
  • Lead coordination of yearly performance evaluations for faculty and staff.
  • Assure the completion of all compliance training for faculty and staff.

Space Management

  • Responsible for organizing and overseeing laboratory and equipment requests, purchase, maintenance and relocations.
  • Assist with space allocation and utilization evaluation and requests.
  • Asset tracking and completing yearly asset reports.
  • Coordinating faculty and staff lab moves, for new and current employees.
Minimum Qualifications
  • Required: Bachelor's degree.
  • Required: Five years of relevant experience.  Degrees in lieu of experience will not be accepted.
