Summary
The Department of Pediatrics, Division of Pediatric Emergency Medicine is seeking a Senior Coordinator, Business Operations to provide comprehensive administrative support to the Division, working closely with the BCM Business Operations Manager and TCH Practice Administrator in an overarching role for Division Administration. The Senior Coordinator will support the Division's Clinical and Academic missions to optimize health outcomes for all acutely ill and injured children.
This position may offer the flexibility of a hybrid work arrangement after an initial training period.
Job Duties
Administrative Responsibilities: 35%
• Provides comprehensive administrative support for Senior Pediatrics Emergency Medicine Faculty, including the North Austin Medical Director & Associate Medical Director, and the Emergency Readiness/Emergency Preparedness Medical Director & Associate Medical Director.
• Responsible for managing calendars, including making appointments, travel, conference, and lecture planning.
• Plans North Austin and Houston Campus department meetings, including faculty development, strategic planning initiatives, special events, and other business unit functions.
• Develops and creates reports and presentations from source material for North Austin and Houston Campuses.
• Serves as primary contact for the Pediatrics Emergency Medicine BCM & TCH Websites; partners with faculty to develop communication materials, newsletters, reports, and maintain websites.
• Serves as primary contact for the Division’s Learning Management Systems. Partners with faculty to create online training materials, courses, and surveys. Supports continuing medical education, licensing, and certification requirements.
• Serves as primary contact with the Texas Department of State Health Services for Vital Statistic. Supports Vital Statistics Account Maintenance and Troubleshooting.
HR Responsibilities: 35%
• Faculty credentialing, and reappointment: Responsible for preparing and submitting Hospital Credentialing Applications for Appointment and Reappointment; oversight of credentialing at multiple hospital locations for Faculty and Clinical Instructors.
• Maintains operational dashboards and tools within the Division for personnel transactions and physician-faculty: full-time, part-time, per-diem, locums, and clinical instructors.
Financial Responsibilities: 15%
• Leads Scheduling & Supplemental Payment processes for North Austin Campus; creates and manages reports for tracking physician schedules and hours worked.
• Supports gross patient revenue and productivity billing initiatives. Partners with BCM/TCH to review Physician Billing and Health Information Management/Documentation Initiatives.
• Designated Concur Delegate and Jaggaer Delegate. Pre-Reviewer for Concur Expense Reports and Travel Requests.
• Monitors and reconciles statements of accounts, and maintains financial dashboards.
Additional Responsibilities: 15%
• Logistical, operational, and administrative support for Divisions’ Emergency Preparedness/ Emergency Response programs. Coordinates communication between Division Head, Medical Director & Associate Medical Director of Emergency Response Programs, and stakeholders across multiple institutions and agencies: hospital, local, state, federal, and international. Maintains dashboards and tracking tools.
• Conducts surveys and supporting data collection from hospitals, coalitions, and other key stakeholders for projects.
• Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor's Degree.
- Experience in an Academic or Healthcare Setting preferred.
- Proficiency in MS Outlook, Word, Excel, PowerPoint.
