Salary Range:  $57,320 - $67,435
FLSA Status:  Nonexempt
Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The National School of Tropical Medicine at Baylor College of Medicine is currently seeking to hire a Senior Coordinator, Program Management to join the team. The Program Management Senior Coordinator will support and assist the deans and division heads, administrators, faculty and support staff or project director/managers in a variety of strategic, administrative, logistical, and organizational duties. This position also supports the delivery and administration of education programs, managing day-to-day operations including admissions, student communications, scheduling, onboarding trainees, processing visas, and event coordination. Ideal candidates will have strong organizational skills, experience with educational technologies, and a commitment to student success.

 

This position is onsite located in the Texas Medical Center.

Job Duties

Generic Duties:
• Assists with the day-to-day operations of an education program.
• Coordinates the trainee recruitment process and on boards new trainees.
• Schedules or coordinates lectures, evaluations, meetings, rounds, exams, seminars, training rotations, electives or special electives, duty/call schedules, ceremonies, or events.
• Creates, monitors, and tracks documentation of training and educational activities; may assist with grade or evaluation collection and submission.
• Processes all aspects of educational appointments and reappointments in compliance with departmental and institutional policies, government regulations, and appropriate oversight agency requirements.
• Reviews records and reports of activities to ensure progress is being accomplished toward specified program objective.
• Conducts formal training or instruction in a classroom setting.
• Responsible for arranging all event activities pertaining to onboarding and orientation.
• Provides administrative support for the program director or other faculty, including maintaining calendars, scheduling meetings, ordering supplies, and preparing correspondence.
• Manages multiple education programs.
• Assists in creating educational materials.
• Submits and tracks educational grant applications.
• Provides assistance and training to lower level employees.
• Delegates tasks to others or is responsible for review of work.
• Performs other job-related duties as assigned.

 

Specific Duties:
• Performs day-to-day operations of the education programs – responds to applicant and student inquiries regarding education programs, compiles applications, processes admissions decision, prepares admissions letters, creates SGA accounts, processes visas and badging, orders office and lab supplies, schedules lectures, reserves classrooms, organizes orientation and graduation, etc.
• Delivers program offerings (e.g., Diploma in Tropical Medicine (DTM) modules) via the Blackboard platform. Utilizes Blackboard features to communicate/notify students and grade/report student performance, administers course and lecture evaluations, monitors student work (assignment, blog posts) progress to ensure program requirements are met, uploads speaker lectures, and uses AV equipment to record live lectures and editing software (e.g., Premier Pro) to produce lecture videos.
• Evaluates DTM online application to determine necessary updates and enhancements; collaborates with Office of Information Technology to streamline the application process, beta tests enhancements to uncover any bugs or issues before general release. 
• Provides and creates instructions and IT support to students to ensure they have access to course material (e.g., slides, handouts, sample work) in a timely manner. 
• Provides administrative support for Dean, Associate Directors, and Supervisor including scheduling meetings and processing reimbursement. 
• Serves as the primary point of contact for all student inquiries and supports NSTM education offerings.
• Maintains documentation (e.g., meeting agenda, meeting minutes, sample student work) to support accreditation efforts.
• Maintains webpages to ensure up-to-date program information is posted in a timely manner.
• Trains support staff in supply order procedures and office operation tasks.
• Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience using SAP, SuccessFactors.
  • Experience with BCM and TCH processes.
  • Experience supporting high-level faculty, managing complex schedules and working in a fast paced environment.
  • Bachelor's Degree.
