Summary

The Pediatrics - Psychology department is seeking a Senior Coordinator, Program Management who will provide advanced administrative support for an education program, including undergraduate, graduate, residency, fellowship, clerkship, continuing medical education, or other College-affiliated education programs. 

Job Duties

• Monitors program operations to assure compliance with APA-accreditation requirements. 
• Conducts data collection and management for annual reports, program and evaluation feedback, and preparation for APA-accreditation self-study and site visit of psychology internship training program.
• Supports leadership’s quality assurance/improvement efforts, including support for management of supervision feedback data. 
• Support program leadership communications to other institutions and regulatory bodies regarding trainee competency development, trainee progress in the program, and alumni readiness for independent licensure/recommendation letters for medical staff appointments.
• Coordinates trainee onboarding and related activities (e.g., EPIC access, phone and computer set up, IS access request, badging, tour of facilities).
• Monitor and supervise reporting of vacation, sick, and professional leave balances.
• Schedules and coordinates meetings and events for program leaders, including training program orientation and internship training program graduation.  
• Initiates check requests, cash requests, purchase orders, and travel reimbursements related to training program.
• Collaborates with program leadership to identify and evaluate methods for improving workflow processes and efficiency.  Implements improvement efforts, monitors process and progress, and provides feedback/recommendations. 
• Provides administrative support to program leadership and trainees
• Coordinates and assists with all aspects of recruitment, including updates to recruitment materials/program brochure, review of incoming applications in portal, supporting decision-making for faculty scheduling, managing virtual interviews, compiling faculty feedback data, management of applicant rating and ranking data, and creation and delivery of match letters.
 

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience with Zoom, Teams, RedCap, Microsoft Forms, Excel, and PowerPoint.
  • Prior experience working in Academia, specifically a Fellowship or Post Graduate program.
  • Able to remain organized and efficient during peak seasons, including ability to oversee multiple projects at the same time, anticipate needs, prioritize, and meet deadlines with strong attention to detail.
  • Customer service focused, meeting and/or touching base regularly with leaders to ensure program needs are being met.
  • Flexible, conscientious, and able to effectively respond to time sensitive and confidential issues.
