The individual in this role will provide administrative support for three programs (Initiative for Maximizing Student Development, IMSD; Post-Baccalaureate Research Education Program, PREP; and the Summer Medical Research Training program, SMART) which comprise the Diversity and Summer Programs in the Graduate School of Biomedical Sciences. Maintain and/or assist with all program info: applications, marketing, orientation, and seminars/workshops for the Diversity and Summer Programs. Manage and maintain program related correspondences through emails and phone calls, databases, trainee participation and outcomes for grant reports and application submission, and monthly program-related expenditures on fast card when used and processing supplemental pay for tutors.

Job Duties

  • Handles day-to-day operations of the programs.
  • Serves as the event coordinator (i.e., room reservations, catering, scheduling speakers, audio visual request, facilities, etc.) for orientations, seminars, special events, team and committee meetings, workshops and others as needed.
  • Assists with the designs and updates of program websites.
  • Assists in recruiting and to process and track applications for programs.
  • Prepares reports and files, gathers data for application committees’ review.
  • Generates and distributes confidential correspondence to students regarding acceptance status.
  • Prepares and distributes program information to trainees.
  • Serves as SMART program liaison with Human Resources, ISO, and Occupational Health.
  • Assists HR with onboarding for SMART program. 
  • Creates onboarding worksheet, completes actions in SuccessFactors, creates Sponsored Guest Accounts, and cost distributions in SAP.
  • Manages time entry, cost distributions, and terminations, and other HR actions.
  • Identifies and resolves student compensation issues.
  • Creates check requests, travel reimbursements, and shopping carts.
  • Generates expense reports for fast and corporate cards.
  • Tracks programs’ alumni educational and professional accomplishments.
  • Handles mail sorting, distribution, and shipping.
  • Maintains program databases.
  • Assists with submitting grant applications.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor’s Degree   
  • Two years of relevant work experience
