Summary
The Senior Coordinator, Program Management, plays a dual role within the Pediatric House Staff Residency Office, providing critical administrative support to both the Pediatric Residency Program (50%) and the Pediatrician-Scientist Program (50%). This position is responsible for coordinating and overseeing key aspects of program operations, including trainee recruitment, onboarding and orientation, and graduation processes.
The Senior Coordinator ensures compliance with institutional and accreditation requirements by monitoring evaluations, online training modules, duty hour reporting, supplemental payments, and program letters of agreement. The role also supports adherence to all College and regulatory mandates. Success in this position requires a proactive, detail-oriented individual with a strong understanding of ACGME (Accrediation Council of Graduate Medical Education) GME (Graduate Medical Education), and ABP (American Board of Pediatrics) guidelines.
Job Duties
- Assists with day-to-day operations of one of the largest pediatric residency programs in the country.
- Oversees onboarding and graduation of residents, research symposium, and performs day-to-day problem solving for residents and chief residents.
- Assists with prepping and interviewing candidates during the recruitment season, setting up schedules with Applicants and Faculty, hosting virtual interviews (including TEAMS and Thalamus platforms) and collecting Faculty feedback after interview. And all other assignments that would facilitate the Interview process.
- Communicates with all departments to prep for onboarding and ensuring that the Interns have fulfilled all of the requirements of the GME department.
- Orders departmental supplies and create/submit invoices via Jaggaer; utilizes Concur for travel reimbursement; assists with budget review and financial processes.
- Updates all annual requirements for ACGME/GME/Pedi-a-Link, etc.
- Assists with the creation and revision of program correspondence including program booklets and printed materials and forms, as well as website informaton for PSP and special educational events for both programs, inlcuding annual retreat events.
- Retrieves mail from the mailroom and distribute to Residents and Faculty.
- Completes all requested forms for Residents, i.e. verifications, loan documents, etc.
- Retrieves breakfast and lunch for the Residents from the vendor.
- Assists with graduating residents, ordering diplomas, prepping for graduation and all task associated.
- Assists and monitor residents during ITE exams.
- Assists Program Manager, Program Director, APD's and Chief's as requested.
- Performs other job related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Experience working at an Academic Institution/enviroment.
- Experience with Microsoft TEAMS.
- Above average Microsoft skills, Concur, MedHub, Jaggaer, and SuccessFactors.
- Excellent organizational skill and the ability to work independently, prioritizing assignments, establishing procedures and systems, and ensuring orderly and timely work flow.
- Excellent written and verbal communication skills.
