Salary Range:  $57,320 - $67,435
FLSA Status:  Nonexempt
Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Ophthalmology Residency Program Coordinator provides comprehensive administrative support for the ACGME-accredited ophthalmology residency program. This role works closely with the Program Director, Associate Program Director, Department Chair, faculty, residents, and the institutional Graduate Medical Education (GME) office to ensure the residency program operates in compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements and institutional policies. The coordinator manages program operations, resident documentation, educational scheduling, evaluation processes, and accreditation reporting while supporting the overall educational mission of the residency program.

Job Duties

 

  • Assists the Program Director in maintaining compliance with ACGME program requirements, institutional GME policies, and accreditation standards.
  • Maintains accurate program and resident information within the ACGME Accreditation Data System (ADS).
  • Assists with preparation for ACGME surveys, accreditation reviews, and program updates.
  • Maintains organized records required for accreditation, including resident files, evaluations, and program documentation.
  • Performs other job-related duties as assigned.

Resident Records and Verification

  • Maintains comprehensive resident records in accordance with ACGME and institutional requirements.
  • Completes and process residency verification of training forms and other documentation for graduates, credentialing, and licensing requests.
  • Tracks resident licensure, certifications, and required educational documentation.

Educational Scheduling and Program Data

  • Enters and maintain resident rotations, lecture schedules, and call schedules within required educational platforms (including MedHub).
  • Ensures schedules are accurate, up to date, and communicated to residents and faculty.
  • Maintains the residency program’s educational calendar and scheduling systems.

Evaluation and Assessment Management

  • Compiles resident evaluations submitted by faculty and rotation supervisors in MedHub.
  • Organizes and summarize evaluation data for review during Clinical Competency Committee (CCC) meetings held twice annually.
  • Assists with milestone reporting and documentation following CCC meetings.

Program Evaluation and Quality Improvement

  • Compiles and organize program data for the Program Evaluation Committee (PEC) meeting conducted annually.
  • Assists in preparation of the Annual Program Evaluation (APE) and documentation of program improvement initiatives.
  • Tracks action items and progress related to program improvement and accreditation requirements.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience in undergraduate medical education (UME), graduate medical education (GME), or an academic medical center environment.
