The Department of Physical Medicine and Rehabilitation is seeking a motivated Senior Coordinator to join our administrative team. The Senior Coordinator, Executive Support will perform comprehensive administrative duties for the executives at the Chair level. The individual will be a collaborative and proactive individual who is committed to supporting the Chair and the department's operational teams with aspects related to faculty, committee work and academic affairs. This position ensures continuity of day-to-day operations and requires excellent organizational skills, flexibility, and the ability to multi-task in a fast-paced environment.


The ideal candidate will be a self-starter that will possess collaborative personal skills, excellent written and verbal communication skills, and an eagerness to learn and grow.

Job Duties

  • Manage the daily operations of the Chairman's office.
  • Manage travel and lodging arrangements, and tracks and pays invoices and reimbursements for Chair's expenses.
  • Oversee credentialing, licensing and membership renewals for the Chair.
  • Support faculty onboarding, appointment and promotion activities under the directives of the Chair and Vice Chair.
  • Edit and distribute Chair's communication and handle mailings to faculty and related distribution lists.
  • Keep faculty directory web pages up-to-date and organized.
  • Assist with communication and data collection related to and distribution of the monthly department newsletter.
  • Assist with department event planning such as holiday celebrations, faculty receptions, team building sessions, etc.
  • Coordinate with the department's academic program coordinator to maintain department alumni list.
  • Demonstrate strong communication skills to include note taking, reference letters and department communications.
  • Participate in or assist with special projects, and assist with coordination of new and ongoing projects.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Concur experience. 
  • Administrative experience with faculty appointment and promotion processes.
  • Experience with Microsoft Excel and Power Point.
