The Office of the Provost and Senior Vice President (SVP) of Academic Affairs is seeking a Senior Coordinator, Executive Support. The Office of the Provost and SVP of Academic Affairs is responsible for the creation and implementation of academic programs and policies for Baylor College of Medicine and works closely with the academic departments, schools, student services, faculty, and staff to ensure the highest quality of academic programs for undergraduate and graduate students.

Job Purpose

Provides administrative support for executives at the Chair, Dean, or Vice President level and above.

Job Duties

  • Routinely provides executive support to the Provost, including team members. 
  • Manages the daily operations of the Provost’s office.
  • Provides calendaring support, schedules appointments and meetings, and responds to availability requests for the Provost, including team members as needed.
  • Strategically manages the Provost’s calendar and time by assessing external opportunities, including travel, speaking engagements, event invitations, and determining their fit against competing priorities.
  • Proactively maintains awareness of activity across the institution and serves as a resource for the Provost’s Office and other academic departments. 
  • Supports faculty and staff recruitment activities.
  • Drafts and executes correspondence for the Provost Assists with licensing and membership renewals.
  • Serves as an administrator for one or more institutional committees (Academic Affairs, multiple Joint Academic Steering Committees with Affiliates).
  • Facilitates communication between/to other academic departments and affiliate partners. 
  • Assists in facilitating the needs of others to escalate critical issues to the Provost and communicates responses and guidance to ensure timely follow-up and resolution.
  • Attends meetings with the Provost as needed, taking detailed notes, and driving execution of action items.
  • Processes requisitions, purchase orders, travel reimbursements, expense reports and procurement.
  • Performs difficult and complex administrative tasks.
  • Recommends changes in the policies and procedures.
  • Participates in or assists with special projects.
  • Assists with coordination of new and ongoing projects.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's degree,


Following the completion of orientation and training, there may be an opportunity for this position to be hybrid: Four days in the office and one day remote.
