Summary
The Senior Coordinator, Employee Records supports the accurate and timely administration of employee records and HR transactions while ensuring the integrity and confidentiality of employee data. This position processes and reviews employee data changes, researches and resolves record discrepancies, validates employee self service transactions, supports onboarding and employment-related documentation, and partners with employees and HR teams to address records and system-related inquiries. The role utilizes HR information systems, including SAP SuccessFactors, and Microsoft Office applications to maintain records, analyze and reconcile data, prepare reports, and maintain data integrity.
Job Duties
- Processes, reviews, and validates employee records and HR transactions.
- Reviews and validates employee-initiated transactions submitted through Employee Self Service (ESS) to confirm the requested changes are accurate, appropriate, and supported by required documentation before approval or completion.
- Processes employee information changes and other employment-related updates in accordance with established procedures and organizational requirements.
- Maintains the confidentiality and integrity of employee information throughout all records-related activities.
- Researches discrepancies by comparing information submitted by the employee with existing HR system data, supporting documentation, reports, and other appropriate sources.
- Determines whether transactions can be approved, require correction or additional documentation, or should be escalated for further review.
- Investigates questions, errors, exceptions, and potentially inaccurate transactions related to employee records and Employee Self Service submissions and determines the appropriate resolution based on established policies, procedures, and system requirements.
- Troubleshoots transaction and data issues within the HR information system and works with employees and appropriate HR partners to obtain clarification or supporting documentation when necessary.
- Monitors assigned issues through resolution and communicates status, corrections, or required actions to employees, managers, and HR partners as appropriate.
- Supports employee onboarding and other employment-related records processes by reviewing required documentation, ensuring information is complete, and completing applicable system and records activities.
- Assists with employment eligibility documentation and I-9 processing and identifies missing or incomplete documentation requiring follow-up.
- Maintains employee records in accordance with established records-management, confidentiality, data privacy, and compliance requirements.
- Provides employee records and Employee Self Service support to employees and HR partners.
- Responds to employee, manager, and HR partner questions regarding employee records, Employee Self Service transactions, HR system processes, documentation requirements, and related procedures.
- Assists employees with understanding requirements associated with employee-initiated changes and researches transactions that cannot be completed or validated as submitted.
- Processes employment verification and employee profile-related requests within established procedures.
- Provides accurate and professional customer service while safeguarding confidential and sensitive employee information.
- Prepares reports and uses data to support employee records operations.
- Generates, reviews, and analyzes reports related to employee records, Employee Self Service activity, and HR transactions to identify outstanding items, discrepancies, trends, exceptions, or required follow-up.
- Uses Microsoft Excel and other Microsoft Office applications to organize, compare, reconcile, and validate employee information.
- Supports recurring data-quality reviews and provides information needed by HR leadership and functional partners to maintain accurate employee records.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience
Preferred Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
- Proficient in Microsoft Office Suite with strong excel skills.
- Hands-on experience with SAP SuccessFactors, ideally working with employee data, Employee Central, onboarding, workflows, or HR transactions.
