The Division of Diabetes and Endocrinology is seeking an experienced, dedicated and enthusiastic Senior Business Operations Coordinator to support the Division Chief and day to day business operations. The ideal candidate should possess strong attention to detail, prioritization, and multi-tasking skills. The incumbent’s tasks will include scheduling meetings, coordination of travel logistics, faculty credentialing, recruitment and onboarding faculty and managing special events. The incumbent will also be responsible for coordinating and assisting division leadership with project based initiatives.

Job Duties

  • General Administrative tasks:
    • Provides executive level support to the Division Chief.
    • Maintains calendars, schedules meetings, and arranges appointments on recurring schedules.
    • Prepares memos, meeting agendas, general correspondence, graphs, and power point presentations. Proofreads documents for distribution.
    • Provides administrative support to Director level faculty and Division manager as needed.
    • Responsible for organizing, coordinating, and managing special events.
  • Recruitment:
    • Manages all logistics for faculty recruitment visits, including coordinating travel arrangements, scheduling interviews and maintaining recruitment database.
    • Coordinates job postings, payments and updates for all faculty positions on the Pediatric Endocrine Society website.
  • Reappointment and Credentialing:
    • Assists with the annual faculty reappointment process.
    • Assists with new faculty hire credentialing.
  • Personnel Actions and Financial tasks:
    • Assists with faculty and staff onboarding and development of in-house orientation plan; makes recommendations for process and workflow improvements.
    • Collects, processes and track monthly supplemental payments; updates and manages database; communicates with faculty and TCH community sites as necessary.
    • Tracks financial data for grant studies and creates monthly reports for Directors.
    • Processes Concur requests, expense reports and journal transfers.
    • Assists Division Administrator with monitoring monthly expenses and reconciliation utilizing SAP reports.
    • Assists with collecting data for annual budget submission.
    • Processes budget revisions and journal entries.
  • Assists with division-wide projects/initiatives:
    • Manages projects assigned to optimize operational efficiency as necessary.
    • Assists in monthly tracking and development of survey tools to collect financial metrics for US News & World annual report.
    • Develops, tracks and updates RedCap or Microsoft forms surveys related to division-wide initiatives.
    • Oversees ACCESS or other database projects.
    • Oversees and trains staff on tasks related to division-wide projects.
    • Meets with Division Administrator, Chief, and Director's on a routine basis to report out updates and provide feedback on process improvements.
    • Provides assistance with special projects as requested.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's degree in a related field.
  • Prior experience with computer spreadsheets, database management and creating surveys.
  • Strong technical skills in Microsoft Word, Excel, and PowerPoint.
