Summary

Provide direct administrative support for the office of Institutional Advancement's Advancement Services AVP.  May also be called on to support various team members and projects for the Advancement Services teams.  This person reports directly to the Business Operations Manager.  Position will also provide high level business operations support for the department.  This will help lead the Advancement Services operations coordinator team in partnership with Business Operations Manager. 

Job Duties

  • Drafts documents/communications and prepares reports and presentations that will be shared with ELT members, department leadership, team members and department as a whole.
  • Complex calendars and events management, coordinators will other ELT members support staff when necessary for meeting coordination.
  • Makes travel arrangements.  Reconciles travel expenses, and general reimbursement requests.
  • Enters information into donor database on behalf of AVP of Advancement Services.  Information such as actions.  Looks up donor information in the database.
  • Provides AVP of Advancement Services with donor and fundraising support in partnership with data analytics team.
  • Works closely with and provide complex support as the gift records team transition to our department.
  • Retrieves general reports from various donor tools for and on behalf of AVP of Advancement Services.
  • Works on special Advancement Services related projects (RFP process, obtaining a new CRM, database transition projects, etc.).

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Departmental finance and/or budget and expense management experience. 
  • Experience managing a board of directors/trustees.
  • Able to provide high-level support in a fast-paced ever-changing environment.
  • Experience supporting leadership.
  • Experience managing complex calendars.
  • Education in communications, business management, or other related field.
  • 6 or more years supporting executive level.
  • Experience working in the fundraising field.
  • Experience in fundraising databases.
  • Experience working with area of Advancement Services.
