Summary

This position supports the mission of the Office of Student Affairs (OSA) by providing business support for office operations and medical students, including coordinating financial and business processes and liaising with central departments. This position provides administrative support to the Deans of Student Affairs and various areas of the Student Affairs office (events, student activities, etc.). This position may provide receptionist support to the office.

 

A successful candidate will have the ability to maintain positive working relationships with faculty, students, peers, and learners. Must be a self-motivated, self-initiator who is organized, detail oriented, and able to multitask.  In addition, they will demonstrate excellent networking, relationship, and conversational skills. 

 

This position has the potential to offer a hybrid work schedule after a probationary period. 

 

 

Job Duties

  • Coordinates the day-to-day business and financial processes for the department. 
  • Processes/follows up on check requests/purchase orders/journal vouchers/student reimbursements using SAP/Concur/SRM/CAMS) for department purchasing needs. 
  • Primarily responsible for student reimbursements for student organizations, events, and general purchases.  
  • Works with Division Lead to process and analyze monthly reports to monitor spend on all OSA accounts.
  • Reviews expenditures from fund sources to verify accuracy, need, and compliance. 
  • Tracks student compliance and follows up with non-compliant students (attestations, consents, trainings, vaccinations, etc.) 
  • Processes, tracks, and follows-up to completion for medical student on-boarding and training requirements in conjunction with affiliated institutions.  
  • Processes/tracks medical student leave of absences (LOAs) and other change of status procedures.  
  • Manages Non-Credit Introduction to Clinical Experiences and Research (NICER) (shadowing and research in BCM affiliated hospitals) program for medical students. 
  • Supports all Student Affairs office events (Orientation, Family Day, White Coat Ceremony, Match Day, Graduation, etc.) 
  • Proctors Clinical Science and Basic Science examinations. 
  • May coordinate department meetings, events, retreats, and other functions.  
  • May provide additional support to faculty as needed (e.g. scheduling meetings, travel arrangements) 
  • Performs other job-related duties as assigned by the Senior Manager and Student Affairs Deans. 
     

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's Degree.
  • Proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
