Title: Senior Coordinator, Business Operations
Summary
The Surgery - Core Research Division is seeking a Senior Coordinator, Business Operations who will work collaboratively with team members from the Office of Surgical Research, Research Faculty, and administrative leaders in the Department of Surgery and central offices at Baylor College of Medicine. The Senior Coordinator's key responsibilities include coordinating business processes, such as hiring and visas, and special projects and timelines, mapping processes, and supporting initiatives within the Office of Surgical Research, such as intramural seed funding, Translational and Innovation Research program, and INSTINCT Surgical Technology and Innovation program.
Job Duties
• Assists with the day-to-day operations of the Office of Surgical Research and maintains standard operating procedure and workflow documents.
• Provides advanced administrative support for Office of Surgical Research faculty directors and research operations director to keep programs running smoothly.
• Monitors the daily progress of department research initiatives and provides detailed updates to faculty directors and research operations director.
• Manages the overall Office of Surgical Research master planning calendar and coordinates preparation of the annual report.
• Processes hiring of research personnel. Coordinates with the Department of Surgery and Human Resources as required. Submit positions for approval through the position management process.
• Coordinates with the International Services Office regarding visa requests for new employees and visa extensions for current employees.
• Schedules interviews on behalf of the hiring managers and supported faculty.
• Manages research faculty and staff appointments and onboarding.
• Monitors financial activity of the corporate card from the Office of Surgical Research (purchases and reconciliation).
• Creates, monitors and tracks documentation of research activities and serves as program coordinator for internal scientific review panels, Think Tank, Shark Tank, seed award events, and collaborative research events.
• Monitors the daily progress of research projects including progress report deadlines and budget expenditures and reporting.
• Reviews expenditures from fund sources to verify accuracy, need, and compliance.
• Drafts letters, such as letters of seed awards, letters of support, and creates surveys/applications, polls, forms, etc.
• Schedules or coordinates lectures, evaluations, meetings, rounds, seminars, ceremonies, or special events.
• Provides administrative support for the Translational and Innovations Research and INSTINCT program directors and research operations director; including maintaining calendars, scheduling meetings, preparing agendas and meeting minutes.
• Assists with program budgeting and strategic planning.
• Assists with strategic planning, evaluation and assessment, including data analysis, generating reports, and coordinating quarterly and annual reports requested by internal and external stakeholders.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor's Degree.
- Project Management Professional (PMP) certification.
- Familiarity with Visio and Power BI.
- Experience working with visas.
