Salary Range:  $57,320 - $67,435
FLSA Status:  Nonexempt
Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Senior Coordinator, Business Operations provides comprehensive administrative, operational, and business support to the Therapeutic Innovation Center (THINC). This role supports the planning, coordination, and execution of daily academic and business operations, as well as special projects and events. The Senior Coordinator, Business Operations works closely with Center leadership, faculty, staff, and institutional partners to ensure efficient operations, effective communication, and continuity of departmental activities.

Key responsibilities include complex calendar management, travel coordination, financial and purchasing support, human resources coordination, report and document preparation, event planning, and general operational support to facilitate faculty productivity and departmental efficiency.

Job Duties

Business Operations Support
• Serves as the primary point of contact for general business and administrative inquiries within the Center. 
• Provides administrative support to departmental leadership, faculty, staff, and institutional partners to support daily operations. 
• Manages the Center Chair’s complex calendar, including scheduling internal and external meetings, responding to scheduling requests and polling tools, and coordinating with other administrative offices. 
• Coordinates domestic and international travel, including pre-trip approvals, airfare and hotel arrangements, and post-travel reimbursement processing. 
• Prepares, submits, and tracks purchasing orders and payment requests. 
• Manages professional licensing, software licenses, and professional society memberships, including renewals and tracking of associated fees. 
• Oversees ordering of supplies and equipment and maintains accurate expense tracking records. 
• Supports the planning and execution of special events, including campus room reservations, catering, travel and accommodations for visiting faculty, postdoctoral candidates, and other guests, as well as student celebrations and Center events. 
• Composes and formats formal and informal correspondence, reports, and presentations. 
• Monitors departmental encumbrances and blocked invoices and reconciles the departmental purchasing card. 
• Processes invoices from non-punchout vendors, including consulting agreements and independent contractor payments, in compliance with institutional policies. 
• Coordinates service calls and facilities-related requests as needed. 
• Provides additional administrative and operational support to faculty and Center leadership as required.

Human Resources Support
• Serves as liaison to Human Resources on matters including recruitment, onboarding, visa applications and extensions, and other personnel-related processes. 
• Assists with faculty recruitment, including coordinating interview logistics for the Center Director/Chair, arranging travel for in-person interviews, and scheduling remote interviews via Microsoft Teams. 
• Supports onboarding, reappointments, and appointment documentation in coordination with Human Resources and institutional hiring systems. 
• Manages onboarding and reappointments for GSBS students. 
• Coordinates human resources activities for the Center, including hiring actions, terminations, salary changes, disciplinary actions, and position management in SuccessFactors. 
• Manages arrival and departure processes for SGA and Research Visitors. 
• Monitors and supports compliance reporting requirements related to personnel and appointments.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.. 

Preferred Qualifications

  • Bachelor's Degree.
  • Advanced Microsoft Excel experience.
  • Excellent communication skills, ability to work in a fast-paced and flexible work environment.
