Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Department of Anesthesiology at Baylor College of Medicine is currently seeking a highly motivated and competent professional to work as a Senior Coordinator in a team-based clinical office setting. The primary responsibilities of this role are to provide administrative support to clinical faculty and operations. This administrative support includes credentialing, faculty recruiting, onboarding, presentation preparation, assistance with travel and expense reporting, and other academic functions. Additionally, this position requires the coordination of daily schedule activities, phone assignments, routing of calls, information gathering and distribution. The ideal candidate for this role must possess excellent team-working skills and be willing to assist team members when required.

 

This position is located at Ben Taub and will offer the flexibility of a hybrid work schedule.

Job Duties

50% - Administrative Coordination and Support:

  • Making Travel Arrangements, Travel / Expense Reporting in Concur.
  • Maintaining CME / CEU Balances.
  • Answers the main clinical department phone line, screen and take calls, route messages, and maintain appropriate contact lists; coordinates faculty calendars with other Coordinators in the department and with affiliated hospital coordinators.
  • Obtains necessary signatures on vital documents and deliver them to appropriate personnel.
  • Files, faxes, types correspondence for faculty, checks the mail at BTGH Mailroom, picks up mail weekly from the Anesthesiology business office, maintains office equipment in functioning order, generates a work order through Citrix Portal, process BCM or Harris Health Org. Telecom and IT requests when necessary.
  • Supports multiple functions in the clinical scheduling software (e.g. QGenda)
  • Performs other job-related duties as assigned.

 

30% - Credentialing Support:

  • Provides credentialing support for new faculty providers and locum tenens / temporary providers.
  • Coordinates, monitors, and maintains up-to-date re-credentialing and re-appointments for the assigned faculty in the department.
  • Prepares credentialing file for completion and presentation to the Medical Staff Services Committee.
  • Responds to inquiries from providers or affiliated Hospitals and Medical Staff Services departments
  • Performs any other credentialing support tasks as needed or assigned.

 

10% - Faculty Recruitment and Onboarding:

  • Assists in the coordination of new department and divisional medical staff recruitment.

 

10% - Academic:

  • Assists faculty by pulling articles when working on book chapters or publishing articles.
  • Provides tours to medical students.
  • Generates a schedule for two and four-week rotating medical students.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor’s degree. 
  • Proficiency in Microsoft Word, PowerPoint, and Excel.
  • Experience working with QGenda.
  • Communications and writing experience.
  • Experience working in an academic medicine environment.
