Title: Senior Business Operations Associate
Summary
The Associate will serve as the executive assistant to a faculty member in the Department of Molecular and Human Genetics. He/She will manage day to day operations for the faculty. This role will include processing and monitoring grant budgets and managing progress reports, sub- awards, and various other compliance related tasks. Knowledge of Baylor of College of Medicine and federal and state grant policies and procedures is helpful. The lab is extremely busy and requires an executive assistant level individual to manage complicated travel schedules, in addition to being poised at dealing with multiple institutions and faculty.
Job Duties
- Will oversee day to day activities for the faculty and his lab, including working with Genetics Human Resources to manage staffing needs for the lab, assist with visa paperwork and participate in budget meetings with the Molecular and Human Genetics (MHG) Finance and HR teams.
- Will work with Molecular and Human Genetics HR and Finance teams to submit position requests and will develop and monitor budgets and financial accounts for the faculty member.
- Will monitor and control cost distributions of faculty and lab staff to ensure personnel effort are appropriately sourced on sponsored programs and will ensure that expenses are being sourced to the appropriate accounts.
- Create and submit financial reports, progress reports, prior-approvals, no cost extensions, carry forwards, effort, compliance, etc.
- Will manage the staff in the ab to ensure that they're able to accomplish their goals.
- Will prepare budgets for grant submissions as well as the administrative portion of the grant application. Will assist the grants team with preparing grants for submission.
- Will work with the HR team to prepare new hire and visa materials.
- Will work with the lab to make sure supplies are ordered as needed.
- Will manage the Baylor College of Medicine meeting schedule for the faculty member.
Minimum Qualifications
- Bachelor's degree.
- Four years of relevant experience.
Preferred Qualifications
- Executive assistance to upper-level faculty.
- Ability to multi-task.
- Excellent verbal and written communication skills.
- Ability to work collaboratively in a team environment.
- Ability to work in a tight deadline environment.
- Ability to deal with different types of personalities.
- Ability to work within the confines of BCM policy while still accomplishing the goals of the faculty.
