The Senior Academic Services Associate will provide a wide scope of administrative and academic support for various operational areas within the School of Medicine's Student Affairs Office, including administrative oversight of the Service-Learning and Narrative Medicine Intersession Courses, Business of Medicine Financial Wellness Lecture Series, Service-Learning volunteer program, associated community partnerships, outreach efforts, and events. In addition, this position will serve as the primary communications manager for the Office of Student Affairs.

Job Duties

  • Communications Director: Manages the Student Affairs general communications, Blackboard site, and outlook calendar (20%).
  • Student-Affairs Curriculum manager: Provides administrative support and oversight for the curriculum provided through the office of student affairs, including the Service-Learning and Narrative Medicine Intersession Course, Business of Medicine Financial Wellness Lecture Series, Acclimating Into Medicine Program and other programs or initiatives as required (80%) Includes the following:
    • Provides orientation for each intersession cohort on the first Monday of the course, manages course activities including student absences, course disruptions (weather, etc.) in close coordination with OSA and sub-Course Directors.
    • Annually reviews goals and objectives of the  Intersession Course, including sub-components, and the Service Learning Programs to assure alignment with BCM curriculum and provide recommendations for strategic planning.
    • Annually reviews and updates the course overview document for the Intersession Course, including sub-components, and Service Learning Programs to assure alignment with BCM Policies and Procedures. 
    • In coordination with Service Learning Course Director, annually reviews and meets with each of the service-learning sites to determine planned projects, potential conflicts/dates, update contacts, safety plans.
    • Annually reviews course evaluations and develops new service-learning sites as needed.
    • Annually creates an end-of-year report reflecting the adjustments and plans that have been made during that year and includes detailed plans of the academic year service-learning sites, any changes to sites or process for closing out sites, updated guides, and research objectives (if applicable).
    • Provides administrative support for faculty course directors of sub-components of Intersession Course (Financial Wellness, Addiction Medicine, Service Learning, and Narrative Medicine) as relates to course function.
    • Leads event planning efforts for the Student Affairs Office including events such as Food for Finals, Service-Learning  Program Symposium, Acclimating Into Medicine large and small group sessions, Student Organization Fairs, and other events as needed.
    • Develops and maintains relationships with internal departments such as the Office of Community Outreach, the Office of Communications, the Office of Student and Trainee Services and the Office of Institutional Diversity, Inclusion and Equity to facilitate partnerships as appropriate.

Minimum Qualifications

  • Bachelor's degree.
  • Four years of relevant experience.

Preferred Qualifications

  • Master's degree in a related field; a relevant master's degree may substitute for two years of experience.
  • Experience with community outreach, community service, and familiarity with the social determinants of health.
