Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Research Administration Specialist at Baylor College of Medicine (BCM) provides support for both pre-award and post-award grant activities. This role involves assisting faculty with grant proposal development, submission, and post-award financial management, ensuring compliance with institutional and sponsor guidelines. 

 

Position will be considered hybrid after 60 days.

Job Duties

• Assists THINC Faculty with submission of grants for internal and external funding of their research projects.
• Submits and monitors applications through the grant life cycle to include interpreting requirements and making recommendations to supported faculty.
• Develops and prepares grant reports.
• Contributes to developing and monitoring grant project timelines.
• Managing any changes to the initial award which do not require a new proposal. Examples are a no-cost extension, change in personnel, scope revision, etc.
• In collaboration with the Sponsored Programs Office, create sub-contracts and other relevant documents.
• In collaboration with the Post-Award Finance Team, tracks and submits annual progress report and award close out requirements.
• Ensures that each application is in compliance with sponsor guidelines, the budget complies with college and sponsor requirements, and that all required sections of applications are complete and submitted in a timely manner.
• Creates grant related budgets for application submission.
• Assists Faculty with finding funding opportunities via internal and external search engines.
• Develops and adhere to grant project timelines, including internal BCM submission deadlines.
• Creates and present grant reports to PIs on a quarterly (or monthly) basis.
• Assembles and compiles information for annual progress reports, renewals, resubmissions, extensions, and new grants to the National Institute of Health (NIH).
• Submits required annual and stewardship reports to research sponsors.
• Maintains organized and accurate records for each grant account, including applications, revenue checks, communication with sponsor, etc.
• Prepares and maintains other support documents for faculty members, as needed.
• Follows NIH guidelines to close out awards in a timely and compliant manner.
• Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience. 

Preferred Qualifications

  • Bachelor’s degree. No experience required with Bachelor’s degree or Certified Research Administrator certification through the Research Administrators Certification Council (RACC).
