Summary
The Department of Neurology at Baylor College of Medicine is seeking a highly motivated Research Administration Specialist. This role will contribute to the implementation of post-award activities including progress reports, research reporting, and effort allocation. Additionally, this position will cross-train and serve as a back-up to the pre-award research administrator including grant submissions and budgeting. The ideal candidate will be able to leverage previous experience to implement new and updated processes to support our research missions.
Job Duties
70% Research Administration (Post-Award)
• Supports the post-award lifecycle of sponsored projects from award setup through closeout.
• Monitors grant budgets, expenditures, payroll allocations, and effort reporting to ensure compliance with sponsor and institutional requirements.
• Prepares and submits progress, financial, stewardship, and closeout reports for NIH and other sponsors.
• Develops and presents financial and grant status reports to Principal Investigators (PIs), providing guidance on spending, projections, and compliance.
• Coordinates subawards, consultant agreements, and collaborations with internal and external stakeholders.
• Maintains accurate grant records and support audits, reporting, and sponsor communications.
• Participates in process improvements to enhance research administration operations.
• Cross-trains and supports pre-award activities, including proposal preparation, budget development, and grant submissions.
30% Research Operations
• Process research-related purchasing and procurement activities.
• Provide guidance on travel, reimbursement, and allowable grant expenditures.
• Support research faculty with administrative and operational needs.
• Coordinate meetings, and other research-related activities.
• Perform other duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor’s degree. No experience is required with Bachelor’s degree or a Certified Research Administrator certification through the Research Administrators Certification Council (RACC).
- Relevant experience in grant application development, budgeting, and/or grant financial management.
- Experience working in an academic medical center or academic research setting.
- Ability to understand and manage the complexities of research grants and reporting.
- Ability to display a professional and positive attitude.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively across the Department.
- Detail-oriented, self-motivated, efficient, and strong organizational skills.
