The Research Administration Associate will coordinate post award activities of grants and contracts, including effort reporting. The Research Administration Associate will be responsible for working with principal investigators (PIs), administrative assistants, and central offices to ensure the department's grants and contracts are managed appropriately based on all relevant policies and award regulations as well as Baylor policies and procedures. Will work with a team of four research administration professionals in Molecular & Human Genetics.  Ideal candidate will have a passion for research administration and enjoy working as part of a team.

Job Duties

  • Develop and maintain Standard Operating Procedures for departmental post award management
  • Provide oversight in the management of all post award grant and contract accounting, administrative and fiscal activities; particularly working closely with PIs and administrative assistants who have awards with substantial post award management
  • Work closely with central grants and contracts, departmental staff and PIs concerning sponsored award compliance issues
  • Manage account setups, budgets, reporting and compliance timelines throughout life-cycle of the grant or contract
  • May project and forecast future award expenditures, including preparing budgets for progress reports
  • Assist with outgoing sub-awards, to include sub-award agreements, budgets, etc. in collaboration with the PI, departmental staff and central office
  • Assist with No Cost Extensions, Carryovers, re-budgeting requests, prior-approval requests, etc. as needed
  • Assist with monitoring compliance training requirements (CITI training) and other compliance requirements such as IACUC, IRB, COI, etc.
  • Participate in orienting and training departmental staff on post award management
  • Provide oversight for closeout of awards, ensuring all financial and operational requirements have been met
  • Prepare financial reconciliations and reports 
  • Assist with financial report reviews as completed by central grants and contracts office; make adjustments and corrections as needed


Effort Reporting

  • Develop and maintain Standard Operating Procedures for departmental effort reporting system, to include monitoring for pre-review and certification with an escalation protocol for outstanding records
  • Work with PIs, departmental staff, and central effort reporting office to ensure compliance with pre-review and certifications; troubleshoot as needed
  • May update in cost and/or effort distributions in the PEPT system
  • Prepare Payroll Cost Transfer Requests as needed
  • Participate in orienting and training departmental staff on effort reporting system 

Minimum Qualifications

  • Bachelor's degree.  Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.

Preferred Qualifications

  • Financial reporting and grants and contracts experience.
  • This role will require interaction with and deliver high quality customer service to faculty members conducting sponsored research. Excellent communication skills and attention to detail are required.
