Summary
The Department of Neurology is seeking a highly motivated Research Administration Associate. This role will support financial operations related to clinical research across the entire department. This position will work closely with the clinical research and business operations team. The ideal candidate will be a key component in developing processes related to payment processing and reconciliation.
Employees with CRA certification are eligible for certification pay.
Job Duties
Financial Operations (40%)
Clinical Trial Reconciliation
- Perform full reconciliation of clinical trial activity, payments, and financial milestones across all studies.
Payment Processing
- Manage checks, accounts receivable/payable (AR/AP), invoicing, and payment tracking to ensure accurate and timely financial processing.
AR Uploads & Journal Entries
- Prepare, validate, and upload AR documentation; create and post journal entries to maintain accurate financial records.
Budget Requests
- Prepare, submit, and track budget requests for clinical research operations.
Jaggaer Approvals
- Review, route, and approve Jaggaer transactions to support compliant purchasing workflows.
Operational Budget Support and Input
- Support planning, monitoring, and reconciliation of the clinical research operational budget.
PEPT Management: PACTs & Approvals
- Manage PEPT processes for clinical research, including PACT creation, review, and approval.
Clinical Research Operations (50%)
CTMS Training & Expertise
- Serve as a CTMS subject matter expert; provide training, workflow guidance, and system support to research personnel within the department.
Department Wide Reconciliation
- Conduct financial and operational reconciliation across all clinical research units, to include clinical trials, to ensuringe alignment between CTMS, finance, and study teams.
Monthly Clinical Research Reporting
- Generate, analyze, and distribute monthly clinical research financial and operational reports by section.
Budget & Contract Collaboration
- Partner with the Senior Clinical Research Manager on budget development, contract review, and negotiation support.
Process Improvement & Efficiency
- Identify operational inefficiencies and implement department wide process improvements to enhance accuracy, workflow, and collaboration.
Cross Functional Collaboration
- Coordinate with finance, research administration, and study teams to ensure cohesive and compliant operations.
Other (10%)
Special Projects
- Support department leadership with ad hoc projects related to financial operations, reporting, or system optimization.
Process Documentation
- Assist in developing and maintaining SOPs, workflows, and training materials.
Operational Support
- Provide additional administrative or operational support as needed to ensure smooth functioning of the clinical research department.
- Perform other job-related duties as assigned.
Minimum Qualifications
- Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
- Two years of relevant experience.
