Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Department of Psychiatry and Behavioral Sciences is seeking a Practice Manager to oversee the daily operations for the Baylor Psychiatry Clinic. This position will work closely with the Baylor Psychiatry Clinic Medical Director, and Department Administrator to lead, create, and support a patient focused practice environment to drive progress and achieve goals in the areas of patient experience, quality, access, employee engagement, revenue cycle, financial performance, physician satisfaction, core coordination, patient and employee safety, EHR regulatory compliance, e-Health and other initiatives.

 

This position offers the opportunity to work on site and telecommute.  This position is also located at our McNair Campus.

Job Duties

  • Directs daily administrative and operational activities of the Baylor Psychiatry Clinic, ensuring clinical and administrative workflows support safe, efficient, effective, and patient-centered care.
  • Collaborates with the Administrator/Medical Director to improve processes, complete specialized projects, and implement initiatives supporting practice growth, business development, service expansion, and compliance with Baylor College of Medicine policies.
  • Oversees referral workflows, patient registration, appointment scheduling, faculty template changes, clinical flow, EPIC documentation, coding, and charging of services.
  • Models the Mission, Vision, Values, Code of Ethics, and Standards of Excellence of Baylor College of Medicine Faculty Group Practice (BCM FGP).
  • Supervises two Medical Assistant II’s and one Assistant Coordinator, Patient Support Services, including assigning duties, establishing schedules, monitoring attendance and performance, and ensuring appropriate staffing coverage.
  • Ensures practice operations and staff comply with applicable regulatory, licensing, accreditation, and organizational standards.
  • Monitors key performance indicators, including no-show/late cancellation rates, phone call lag time, space and schedule utilization, provider investment of time, UHC wRVU targets for M.D. Psychiatry and Ph.D. Psychology providers, and provider coding patterns. Identifies trends and implements timely process improvements.
  • Ensures clinic operations follow best practices and patient-centered workflows while maintaining high standards of care, quality, and service. Identifies and acts on opportunities for growth and improvement.
  • Translates organizational goals into departmental objectives and priorities and promotes effective communication through staff meetings and other communication strategies.
  • Analyzes operational and clinical data with department leadership and teams to improve performance, clinical outcomes, patient satisfaction, and resource utilization.
  • Develops and monitors plans to ramp up new M.D. and Ph.D. providers joining the Baylor Psychiatry Clinic.
  • Demonstrates fluency in EPIC and promotes effective utilization to support clinical workflows, preventive medicine, disease management, documentation, and operational efficiency.
  • Maintains clinical operations during EPIC/computer downtime, inclement weather, and other unplanned events.
  • Collaborates with the Business Operations Manager on recruitment, onboarding, and orientation of clinic managers and staff. Coordinates operational onboarding and offboarding of clinical faculty, advanced practice providers, trainees, and other personnel, including scheduling, workspace, equipment, system access, and workflow orientation.
  • Mentors and develops team members through continuing education, credentialing, professional development, and mutual goal setting.
  • Collaborates with providers, department leadership, and corporate support teams on internal and external reporting, budgeting, forecasting, capital budgeting, and financial modeling.
  • Works with the Department Administrator and Lead Financial Analyst to optimize resource utilization, maintain practice efficiency, and minimize operational costs.
  • Oversees clinical equipment, supplies, and pharmaceutical needs and requests.
  • Ensures an outstanding patient experience and addresses patient concerns or complaints within 24–48 hours. Monitors clinic performance against the College’s Press Ganey mean score standards.
  • Works with physician leadership and business development teams to evaluate and implement strategies for practice growth and outreach.
  • Attends Baylor, FGP, and department meetings.
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • Bachelor's degree in Healthcare, Business, and Accounting or related field. Four years of related experience may substitute for degree requirement.
  • One year of relevant experience in a related medical setting as a team leader.  

 

 

 

Preferred Qualifications

  • Master's degree in a related field.
