The Department of Medicine is seeking a Manager, Business Operations for the Section of Nephrology. With 14 sections, 10 centers, and seven vice-chair groups, the Margaret M. and Albert B. Alkek Department of Medicine is the largest adult practice department at Baylor College of Medicine. We are one of the largest education programs in the US with more than 700 trainees, and highly competitive specialty fellowship training programs, including seven federally funded research training grants. Our healthcare providers see hundreds of thousands of patients in seven inpatient and outpatient facilities and our department’s clinical excellence is recognized in U.S. News and World Report. Our departmental research initiatives span the continuum of biomedical research from basic to clinical, attracting $79.5 million in total extramural funding, including more than $62 million from the NIH as well as other federal sources.


The Manager, Business Operations serves as the operational and strategic leader for all 3 missions - clinical operations, educational liaison and all financial management oversight for finances, including pre and post award for grants. Provides HR leadership of the section (includes all recruitment, termination and disciplinary actions).

Job Duties

  • Directly manages three administrative staff, with dotted line supervisory relationships with one medical assistant and one nurse.
  • Manages operations: clinic productivity, provider performance, human resources, grants management and budget compilation to ensure efficiency and success of section.
  • Develops and manages the Section’s operating budget.
  • Uses historical data to forecast section revenue and expenses for the following fiscal year, and monitors the strategic plan to ensure all upcoming initiatives are supported financially.
  • Performs monthly financial analysis detailing year-to-date variances to budget and presents findings to the Department of Medicine Chief Administrator and Directors.
  • Manages pre-award and post-award activities for all Nephrology grants and associated faculty members. This includes working with principle investigator to create the budget, completing proposal forms as necessary, submitting the proposal in BRAIN, coordinating the account set-up, completing any supplemental forms or financial reports, and monitoring account to ensure funds are being spent accurately.
  • Defines work responsibilities for team members, assigns additional tasks as needs arise, sets deadlines, and reviews all work submitted.
  • Facilitates hiring of new team members, and promotions for established team members.
  • Conducts annual performance evaluations for direct reports, providing input into those for the clinical staff as well , and helps each staff member set personal and professional goals. Meets routinely with clinical teams to ensure smooth business operations.
  • Reviews and processes payroll and time off requests for staff members.
  • Collaborates with Section Chiefs to outline goals for the strategic plan that align with the organization’s initiatives.
  • Responsible for team development for faculty, clinical and administrative team members.
  • Coordinates the annual team retreat with the Section Chief and ensures all discussions and activities align with the section’s strategic plan.
  • Oversees or originates special projects or programs.

Minimum Qualifications

  • Bachelor's degree. 
  • Four years of relevant experience. 

Preferred Qualifications

  • Operations experience within an academic setting.
  • Pre/post grant management experience.
  • Supervisory experience.
