Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Manager, Business Operations is responsible for oversight and day-to-day management of the Institute for Clinical and Translational Research (ICTR) business functions.

 

The role directs financial execution, budget planning, and resource allocation, and provides critical fiscal guidance to Core Functions and Service Centers. Additionally, this position provides oversight for Research Administration and directly supervises business operations staff to ensure operational excellence and alignment with organizational priorities. Finally, it drives strategic business development, process improvement, and project management while ensuring strict compliance with institutional, state, federal, and sponsor policies.

 

This position may be eligible to work a hybrid arrangement with 3 days in office and 2 days from home after a three month in-person training period.

Job Duties

  • Research administration oversight (Effort: 25%)
    • Provides oversight for post-award grant management and pre-award grant preparation and development.
    • Oversees sub-awards and reconciles CTSA and other grants.
    • Facilitates pilot planning and oversight administration.
    • Provides other direct Research Administration support during peak periods.
  • Financial accountability, reporting, and reconciliation (Effort: 20%)
    • Generates cyclical month-end reports and ad hoc reports.
    • Harmonizes data from various reports to identify trends, gaps, and opportunities, and prepares actionable recommendations for leadership.
    • Manages reconciliation and auditing, including reviewing expenses and revenue for accuracy and conducting deep-dive expense reviews.
    • Oversees cost corrections, journal entries, budget transfers, and variance reporting.
  • Business operations oversight (Effort: 15%)
    • Manages day-to-day business operations, including compliance, financial management, and coordination with assigned HR coordinator.
    • Supervises employees (e.g., Research Admin and Business Ops), allocating work, prioritizing tasks, gauging performance, and providing coaching.
    • Ensures compliance with BCM, state, federal, and sponsor policies.
    • Attends standing meetings with institutional leaders and Research Mission partners to ensure alignment with organizational priorities.
    • Hosts or attends departmental meetings to promulgate guidance to operational teams and ensure business alignment with the operational direction.
  • Strategic business development and process improvement (Effort: 15%)
    • Collaborates with operational and SVPR business leadership to develop strategies for enhancing business operation quality.
    • Coordinates business process development projects, including reconciliation reporting improvements and compliance assessments.
    • Supports efforts to identify, monitor, and assess business operations KPIs to develop quality improvement initiatives.
    • Manages day-to-day project management and change management for business operations projects.
  • Budget management (Effort: 15%)
    • Executes the annual budget, including approving financial transactions (L1/L2 in Jaggaer, Concur approver) and providing compliant oversight.
    • Monitors spending and income trends to provide business insights to leadership.
    • Manages and facilitates the end-to-end financial contract lifecycle for licenses and subscriptions.
    • Coordinates the annual budget planning process and optimize resource allocation for personnel within ICTR and CTPH.
  • Core functions, service center operations, and resource allocation (Effort: 10%)
    • Partners with core leaders to develop, refine, and maintain comprehensive cost analyses for services, financial planning, and sustainability.
    • Identifies appropriate costing models (direct post or recharge) and conducts chargeback modeling for cores (e.g., Biostats, Informatics).
    • Manages iLab operations and financial administration, ensuring portal alignment and accurate billing capture.
    • Provides fiscal guidance and counsel to core directors and staff based on revenue and expense rates.
    • Maintains oversight of space inventory and equipment.
  • Effort percentages may evolve.

Minimum Qualifications

  • Bachelor's degree. 
  • Four years of relevant experience. 

Preferred Qualifications

  • Master's degree in a related field.
  • IHE experience, ideally in academic medicine.
  • Research administration experience.
  • Excel proficient.
  • Project management and/or process improvement experience or education.
