Summary
The Henry J.N. Taub Department of Emergency Medicine (EM) at Baylor College of Medicine is recruiting a Lead Coordinator, Program Management to join the administrative team. This individual will serve as the primary coordinator of the 45-resident Emergency Medicine Residency Program; facilitate areas of Accreditation Council for Graduate Medicine Education (ACGME) accreditation and reporting to external agencies; manage recruitment of residents; provide administrative support for the residency Program Director; and engage daily with residents and core faculty. EM serves the community by providing high-quality, compassionate emergency care to a diverse patient population. In addition, educating and mentoring the next generation of leaders in emergency medicine is a top priority of the department. This position offers the flexibility of a hybrid work schedule and is located at Ben Taub.
Job Duties
• Serves as Administrative Assistant to Program Director (PD): assists in development of departmental goals and objectives, PLA development/management; schedules meetings for PD and maintains appointments as necessary; maintains data for accreditation; responds to inquiries regarding residency program, rotations and other training questions; and participates in institutional committees as required
• Coordinates the Emergency Medicine Residency Program: includes managing and coordinating daily operations and logistics for the EM Residency Program; maintains knowledge of current medical licensure requirements, ACGME accreditation, institutional requirements, includes processing visa requirements; implements and updates MedHub resident info, track and update vacation/leave schedules in MedHub; coordinates outside electives; maintains and communicates roster of residency program membership and subscriptions; distributes, collects, and tabulates all evaluations forms regarding residents, rotations and faculty and compiles and generates feedback for appropriate follow-up and reporting; maintains confidential resident files; coordinates semi-annual reviews for all residents in program; as needed, coordinates journal club, weekly conference, includes attendance and evaluations.
• Coordinates the ACGME accreditation and reporting requirements: maintains compliance and updates knowledge of current ACGME accreditation requirements for program; coordinates preparations for accreditation site visits for the Residency Program; compiles, updates and submits reports to ACGME and other professional organizations as required; compiles, tabulates and reports data for surveys, questionnaires, census reports, accreditation reports and other forms and documents required by internal and external agencies; coordinates the administration of In-training examinations; participate in post-graduation emergency medicine verifications.
• Participates in Recruitment of Residents and Fellows: implements residency program recruitment time-line; manages extensive initial contacts via e-mails, telephone and written correspondence; represents programs' image and exposure through emergency medicine interest groups, fairs, and/or communication; identification of faculty to engage in interview days; maintains materials to be sent to residents in advance of the interview day; oversees ERAS installation and applications for the department, includes managing review of residency applications; coordinates resident interviews and communications with applicants; coordinates applicants’ interview day; work with PD in ERAS software to produce residency applications, reports, and rank list; interview closeout processing; work with department leadership to ensure accuracy of cost distribution for all residents.
• Coordinates appointments, reappointments, and termination: engage in general GME orientation of new residents; participate in resident appointment and reappointment process for rotation hospitals; prepares and monitors resident completion and/or termination process; assists new residents with settling in, ensuring a smooth transition to residency program.
• Performs other job-related duties as assigned.
Minimum Qualifications
- Bachelor's degree; four years of relevant work experience accepted in lieu of degree.
- Two years of relevant experience.
Preferred Qualifications
- Bachelor's degree.
- Education Program Management experience - GME or UME (Graduate Medical Education or Undergraduate Medical Education)
