The Office of the Provost seeks a Lead, Academic Operations to Manage the DOE Section 117 Reporting activities to ensure that goals and objectives of the project are accomplished within specified timeframes. Manage SACSCOC institutional accreditation action items. This individual will work collaboratively with Office of the Provost team members as well as educational and administrative leaders at Baylor College of Medicine to fulfill key responsibilities.

Job Purpose

Provide leadership for the facilitation, management, and coordination of all aspects of the Baylor College of Medicine accreditation lifecycle and ensure academic compliance.

Job Duties

  • Manages the project to ensure that implementation and prescribed activities are carried out in accordance with specified objectives.
  • Analyzes project goals, plans schedule of deadlines, and develops action plan and processes for project completion from inception to evaluation.
  • Produces high-quality deliverables within a specified timeline.
  • Coordinates efforts between various stakeholders; coordinates activities; provides guidance to personnel responsible for specific functions or phases of the project.
  • Develops, recommends, and implements necessary improvements and changes.
  • Confers with staff to explain project and individual responsibilities for functions and phases of project.
  • May prepare or participate in the preparation of operations and procedures manuals, and other written material and documentation as required.
  • May coordinate projects with in-house.
  • Monitors project schedule to ensure that the project does not exceed the approved timeline.
  • Maintains records of project activities to ensure progress is made toward project objectives and deadlines.
  • Develops, implements, and maintains appropriate policies, procedures, and standards concerning projects.
  • Regularly interacts with and prepares presentations, analyses, etc. for executive leadership.
  • Utilizes process improvement tools, such as Lean Six Sigma.
  • Provides project and administrative management for academic and regulatory compliance, enterprise risk management, academic policies and education information technology processes and operations.
  • Develops and manages dashboards, project plans and process maps to track key action items, deliverables and workflows for academic and regulatory compliance, academic policies.
  • Ensures execution of timeline for academic program compliance program through proactive monitoring and risk assessment.
  • Prepares reports, slide presentations and outcomes/data reports.
  • Maintains complete and timely electronic and web-based records, as appropriate.

Minimum Qualifications

  • Bachelor’s degree.
  • Six years of relevant experience.

Preferred Qualifications

  • Master’s degree in related field or equivalent work experience.
  • Project Management Professional certification.  
  • Three to five years of relevant work experience within academic, health science or related setting.
  • Experience at an Academic Medical Center and/or healthcare organization.
  • Ability to manage large scale, time-sensitive projects, monitor and manage timelines, deadlines, and deliverables, with demonstrated measures of success.
  • Experience in creating dashboards and databases and with tracking compliance and outcomes.
  • Familiarity with compliance and procedures.
  • Strong proficiency in Microsoft applications, including but not limited to MS Outlook, Word, Planner, Forms, PowerPoint, Excel, Teams and Access.
  • Lean Six Sigma Greenbelt Certification.
