Summary
The Coordinator, Business Operations is responsible for supporting Baylor College of Medicine's (BCM) role as an accredited continuing education (CE) provider, including supporting the daily operations to ensure that quality services is provided and compliance is achieved. This person is responsible for coordinating collaborative educational initiatives in a dynamic team setting using numerous formats and technologies. Background and competencies include planning and implementing accredited education, needs assessment, outstanding written and verbal communication skills, copy editing and proofreading skills, and strategic skills in technologies, budgeting, marketing, and organization.
Job Duties
- Coordinates the compliance components for certified activities to meet deadlines.
- Supports and liaises with education partners to submit and complete continuing education applications and session documents.
- Supports the development and execution of educational activities (e.g., regularly scheduled series such as grand rounds, and other events such as conferences, webinars, internet enduring activities) including registration, preparing documents, tracking attendees, evaluation, etc.
- Develops and reviews promotional materials.
- Creates and reports results of evaluations, pre-/post-tests, and polls.
- Develops and reviews educational materials including documents in MS Word, PowerPoint presentations, video recordings, etc
- Reviews required documentation for completeness, formats, and payments, when due.
- Monitors activity budget expenses, including maintaining a tracking system for invoices, fees, and payments.
- Updates content, forms, and attachments for public consumption.
- Assists with gathering data used for preparation of reports using ACCME PARS, Excel, MS Word, and Baylor's CE database.
- Serves as documentation historian including filing and tracking documents, managing the shared drive, etc.
- Sets up, organizes, and maintains project files.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Experience working with an accreditation or credentialing organization preferred.
- Experience with copy editing, document processing, and document layout preferred.
- Strong commitment to balancing service with regulatory functions.
- Customer service approach in communicating with internal and external stakeholders.
- Skilled problem solver, with an ability to adapt to changing priories and heavy workloads.
- Excellent time-management and organizational skills with the ability to multi-task and manage numerous activities across tight deadlines.
