Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Coordinator, Business Operations will provide comprehensive administrative and operational support to a high-volume Pediatric Infectious Diseases faculty group. This role supports the planning, coordination, and execution of daily academic and business operations, as well as special projects and events. Responsibilities include complex calendar management; managing daily communications and correspondence; preparing reports and documentation; coordinating domestic and international travel; arranging on-campus room reservations; and providing general administrative and operational support to ensure efficient faculty workflow and departmental operations.

Job Duties

  • Manages schedule – makes new appointments with students, postdocs, collaborators. Answers doodle polls for meeting requests.  Coordinates with other administrative offices for scheduling.
  • Manages travel. Submits pretrip approval requests, makes hotel and flight arrangements, submits reimbursements.
  • Acts as a liaison with the grants management team, provide needed documentation.
  • Keeps CVs and biosketches up to date.
  • Responds to requests for letters of recommendation—proofread and edit letters of recommendation, put on letterhead and send PDF to requester.
  • Manages updates to research protocols, institutional biosafety protocol, the hazardous agents and hazardous chemicals protocol and inventory, and human protocol licensure.
  • Manages licensing and professional society memberships. Renews annual membership and licensing dues. Maintain licenses on software – e.g. Prism, Papers, Biorender, SnapGene, FloJo
  • Collates and organizes information related to research, clinical and educational administration.
  • Assists with editing manuscripts, manuscript submissions, book chapters and other academic works.
  • Supports planning and execution of special events e.g. scheduling and arranging travel, on campus room reservations, and meals for visiting professors, postdoc candidates, or graduation celebrations for students.
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Proficiency using Microsoft Office Suite.
  • SAS, grants management, managing schedules, and using Concur.
