This position will provide administrative support for the Cancer and Hematology Center's Education Division, managing our K12 Pediatric Oncology Clinical Research Training Program (of which there are 5 to 6 scholars). In addition, this position will provide support for conferences, K12 grant management, grant progress reporting, the observer/volunteer approval process, advance practice provider affiliation agreements, and student internships.

Job Duties

K12 Management -- 80%

  • Provides management of all educational aspects of the POCRTP K12 grant.
  • Updates program recruiting materials
  • Manages the administrative activities of the yearly recruitment process
  • Maintains K12 application packets
  • Schedules interviews of program applicants
  • Accepts, triages and processes all applications to the POCRTP
  • Organizes, attends, coordinates, communicates and assists with the conduct of all Advisory Committee meetings
  • Organizing, attending, coordinates, communicates and assists with the conduct of all External Advisory Committee meetings
  • Collates necessary data regarding program applicants and Scholars
  • Keeps Trainee database updated 
  • Tracks key metrics on current and past Scholars and mentors
  • Updates mentor, advisory committee, & external advisory committee rosters
  • Keeps up to date Biosketches and CVs for all mentors and scholars
  • Manages K12 website content for each scholar
  • Prepares materials related to curriculum educational objectives
  • Assists in the planning of courses, lectures and seminars for Paul Calabresi Scholars
  • Coordinates program evaluation activities
  • Coordinates all grant-related issues with the NIH and the BCM Office of Research
  • Creates eRA NIH Statement of Appointments for each Scholar
  • Ensures Scholars publications are in compliance with NIH Public Access Policy
  • Assists with the preparation of NIH progress reports and renewal applications
  • Routes the grant and progress report in the BRAIN system
  • Updates data in the xTRACT system in eRA Commons
  • Creates yearly budgets and monitoring expenses related to the K12 grant
  • Attends weekly K12 PI Meeting with Dr. Blaney & Dr. Allen to track K12 progress

Administrative Support -- 10%

  • Supports K12 program through maintaining calendar, meetings, documents and other materials
  • Assists with processing of students and interns through the Cancer Center (undergraduate, medical and graduate)
  • Assists with the summer student internship program

Conference Support -- 10%

  • Assists the Sr. Coordinator, Program Management with conference events for fellows and faculty, including annual research symposia and other conferences
  • Assists with collecting CMEs and processing them for the attendees
  • Assists with budget monitoring and purchasing for conferences

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Experience managing education programs, conference support, grants, and fellowship management are preferred.
