Title: Coordinator, Program Management
Summary
This position provides direction, leadership, and day-to-day management of educational and departmental activities to include administrative support to the Directors of Education in the Division of Pediatric Hospital Medicine (PHM) including undergraduate, graduate, and faculty training programs; and educational coordination between attending physicians, fellows, residents, medical students and institutional and regulatory administrative offices.
The coordinator must demonstrate initiative, resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities, functions, and underlying management structure of the department and of the larger institution in organizing and independently prioritizing work, establishing procedures and systems, and ensuring orderly and timely workflow.
Job Duties
Administration, coordination, and supervision of Baylor College of Medicine Residents regarding their educational time with PHM at Medical Center and West Campus
Scheduling:
• Collates and distribute learner and faculty schedules from web-based scheduling programs (QGenda, AmIOn).
• Reviews and addend schedules to maximize continuity and educational inputs based on needs of the division.
• Works with educational directors and chief residents to anticipate and address scheduling challenges and overlaps across learner groups.
Orientation:
• Coordinates monthly orientation scheduling and resident attendance.
• Assists in creation/revision of PHM resident rotation Blackboard site.
• Troubleshoot/revise processes to maximize utility and meet changing needs of the division, house staff office or director.
Assessment and Evaluation:
• Maintains web-based monthly resident evaluations, including collecting and collating appropriate information from various sources into consensus evaluation.
• Assists in maximizing faculty completion of resident evaluations.
• Compiles and submit resident evaluations to residency program leadership through MedHUB.
• Recognizes learners in difficulty via evaluation review and discuss with director.
• Assists in the development of new procedures in response to new or revised policies issued by governing agencies or house staff office.
Capstone and elective programmatic support and development
• Serves as a liaison and communicates with resident elective and Capstone rotators.
• Assists in understanding rotator’s educational goals and planning an individualized curriculum for their rotation.
• Builds their elective schedule including core curriculum with individualized components.
• Prepares faculty for the rotating resident with reminders of goals and expectations.
Off service and away rotators
• Serves as a liaison and communicate with all appropriate program offices and administrators (e.g. family medicine, psychiatry).
• Coordinates onboarding (if necessary) with pediatric chief residents.
West campus resident education
• Provides administrative support to WC Education Director.
Administration, coordination, and organization of Baylor College of Medicine Clerkship Students
• Develop and maintain clerkship PHM sub-rotation schedules at clinical sites (West Campus and Medical Center).
• Coordinate monthly orientation and student attendance.
• Serve as a liaison between students and clerkship site director and provide first line support for clerkship students in matters relating to their PHM sub-rotation.
• Serve as liaison between primary clerkship administrator and PHM.
• Attend Pediatric Clerkship Committee meeting every two months.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Bachelor's Degree.
