Summary
The Coordinator, Program Management will provide administrative and programmatic support within the Office of Student Affairs. The coordinator will provide direct support to student visitors, collaborate with campus partners and external vendors on event logistics, coordinate related business expenditures, assist with organizing event details, and provide support to student organizations and honor societies. The coordinator will closely monitor project progress, communicate with stakeholders, and provide administrative support to ensure the smooth operation of programs and services. A successful candidate will have the ability to maintain positive working relationships with faculty, students, peers, and learners. Must be a self-motivated, self-initiator who is organized, detail oriented, and able to multitask. In addition, they will demonstrate excellent networking, relationship, and conversational skills.
This position may require some evening weeknight work due to planned events.
Job Duties
Administrative Responsibilities
- Serves as the primary front desk and reception presence for the Office of Student Affairs, providing exceptional customer service and support to students, visitors, and office staff.
- Answers, screens, and routes incoming phone calls and monitor the Student Affairs email account, ensuring timely and professional responses.
- Coordinates with internal departments, campus facilities, and external vendors regarding event spaces, supplies, equipment, and catering needs.
- Partners with the Senior Coordinator, Business Operations to track purchases, support contract administration, monitor expenditures, review funding balances, and ensure compliance with institutional policies and procedures.
- Assists with processing reimbursements, check requests, purchase orders, and travel arrangements for assigned programs and services.
- Manages and maintain processes for student organization deposits, including fundraising revenue and honor society membership funds.
- Processes student reimbursement requests related to student organizations, events, and approved purchases.
- Provides administrative support to the Senior Manager, Student Affairs Deans, and Director, including preparing reports and presentations, coordinating Dean's Hours, scheduling meetings and appointments, and arranging travel.
Programming and Advising
- Assists the Senior Manager with the planning, coordination, and execution of Student Affairs events, including Orientation, Family Day, White Coat Ceremony, Match Day, Graduation, and other student-focused programs, utilizing the full event planning cycle.
- Serves as a resource to student leaders and student organizations on event planning, programming, and organizational operations.
- Develops, delivers, and maintains training materials and resources for student organizations, covering event planning processes, policies, and procedures.
- Leads the programmatic and administrative support for the Alpha Omega Alpha (AOA) Honor Medical Society and the Gold Humanism Honor Society. Responsibilities include advisor support, selection process coordination, committee support, communications, collaboration with national headquarters, and induction ceremony planning and execution.
Assessment and Continuous Improvement
- Assists in evaluating the effectiveness and impact of assigned programs and services.
- Maintains assessment data and results for reporting purposes and ensure program and student learning outcomes align with the mission of the Office of Student Affairs and the priorities of the School of Medicine.
- Analyzes assessment results and recommend improvements to program design, service delivery, and operational processes.
Office Operations and Team Support
- Provides administrative and logistical support for all Student Affairs events and activities, including Orientation, Family Day, White Coat Ceremony, Match Day, Graduation, and related programs.
- Coordinates and facilitate cross-training initiatives to ensure effective staff coverage and operational continuity.
- Supports a collaborative and student-centered office environment by contributing to departmental projects and initiatives.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Event Planning Experience Highly Preferred.
- Experience working in a college or university setting.
- Experience working with student groups/organizations.
- Experience working at a medical school.
- Proficiency with Microsoft Office Suite.
