Summary
The Pulmonary, Critical Care, and Sleep Medicine section in the Department of Medicine is recruiting a Clinical Operations Coordinator to assist with clinical logistics and administrative needs for the section's Pulmonary, Sleep, and Cystic Fibrosis Clinics located at McNair, Baylor St. Luke's Medical Center (BSLMC) Transplant Services, and multiple ICU teams. This role will be responsible for administrative support for calendar management, processing reimbursements, credentialing, procurement, and other general administrative needs.
The ideal candidate is someone who is a team player, organized, patient and willing to learn new tasks.
Job Duties
- Prepares and processes documents necessary for purchasing orders and supplies for section.
- Orders general supplies for the section.
- Manages domestic and international travel requests and expense reimbursements via Concur.
- Composes formal and informal correspondence including, but not limited to, creating and formatting presentations.
- Handles calendar scheduling and maintenance.
- Assists with patient scheduling.
- Submits work orders for service and facilities requests.
- Provides additional support to Faculty members as needed.
- Organizes track data processes and prepares reports for several initiatives.
- Reschedules patients in case of changes provider's schedule or other scheduling needs.
- Consults and handles clinic schedule maintenance in QGenda, and Pavilion.
- Schedules liaison with Texas Children's Hospital (TCH) or (BSLMC).
- Facilitates missing charges communication and resolution with Faculty.
- Processes VISA documentation.
- Manages Faculty Roster.
- Manages tracking of Continuing Medical Education (CME) balances and expenses for Clinical Faculty.
- Supports Transplant Faculty Admin.
- Assists with Interventional Pulmonology scheduling as needed.
- Submits and manages IT tickets ensuring completion.
- Coordinates events and event management such as clinical morale and appreciation events.
- Develops process maps and outlines for existing processes and improvements.
- Organizes track data processes and prepares reports for several initiatives.
- Coordinates faculty recruitment and assist with on-boarding and off-boarding processes.
- Daily review of clinic scheduling ensuring patient referrals and coverage is secured for visits.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Experience working with Eletronic Medical Record (EMR) like EPIC.
- Patient Appointment scheduling.
