Summary
The Department of Dermatology is looking to recruit a Clinical Operations Coordinator to join their clinical leadership team. The coordinator will provide specialized administrative support to ensure efficient operations within the Dermatology clinic. The candidate will support daily clinical workflows, including provider schedules, patient flow, and resolution of dermatology-specific service issues. Lastly, the coordinator will support strategic and financial initiatives to optimize Dermatologic care delivery.
This position will facilitates process improvements and assists with administrative and policy goals as directed. This role plays a key part in monitoring clinical workflows, improving patient satisfaction and access. Supports clinic-wide performance initiatives and quality metrics aligned with departmental objectives. Prepares operational reports to support clinical goals and strategic planning. Assists with the implementation of process improvement initiatives related to patient access, experience and efficiency. Collaborates with clinical leadership to achieve and maintain performance metrics and operational goals. Serves as point of escalation for front-line issues.
The ideal candidate will have excellent communication skills, flexibility in problem solving, and a proactive approach to workflow management. Will be organized, self-motivated, work well under pressure, able to handle multiple tasks simultaneously. Have strong interpersonal skills and the ability to support a clinical team are keys to success. The ideal candidate must be comfortable working in a fast-paced, patient-centered clinic with high expectations for excellent service and adherence to strict confidentiality.

Job Duties
Clinical Coordination:
- Supports clinic director with clinical operations.
- Helps coordinate daily staffing needs by ensuring all shifts are staffed and patient appointments are managed efficiently.
- Reviews provider schedules daily to ensure patients are booked accurately and referrals are received.
- Reviews e-faxes for incoming referrals and assists with patient scheduling as needed. Assists with daily clinical operations to ensure consistent patient-centered workflows.
Front Desk & Communication:
- Liaisons between clinical team and front desk, regularly reviewing report/dashboards to ensure patient referrals are received and payment reconciliation is complete.
Patient Scheduling & Support:
- Books, confirms, and reschedules dermatology appointments as needed.
- Directly supports Live Answer service and handles incoming patient calls when assigned.
- Acts as a backup to dermatology schedulers when needed.
Calendar & Meeting Management:
- Maintains calendars for dermatology providers and leadership, schedules meetings, and prepares agendas for clinical and strategic planning sessions.
Other Duties as Assigned:
- Supports departmental initiatives including quality improvement, patient satisfaction tracking, and coordination with research, scheduling, and billing teams.
- Assists practice manager with other specific duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Experience in high volume outpatient clinics or specialty clinic settings.
- Experience scheduling patient appointments, referrals, and coordination with insurance.
