This position will provide administrative secretarial support to the Medical Director of the Central Operational Support Hub funded by the Texas Child Mental Health Care Consortium (TCMHCC) - State Grant. The selected candidate will report directly to the Medical Director and will play a vital role in coordinating and processing administrative tasks of the grant funded initiatives. Day-to-day duties will include coordinating and processing calendar activities, meeting minutes, and program presentations. This position will also track action items and provide updates to the Medical Director and team members. 

Job Duties

  • Attends, and maintains meeting minutes for approximately 30 meetings per month. Composes and sends meeting minutes to appropriate personnel across a dozen institutions. 
  • Maintains the Central Operational Support Hub event calendar. Coordinates with sites and team members to schedule weekly, monthly, and quarterly meetings with program leadership.
  • Creates and shares PowerPoint and Excel presentations based on information provided by the Medical Director and team members. 
  • Maintains files and documents related to the programs. 
  • Tracks contract routing and reporting for program. Provides daily updates to Medical Director and team members. 
  • Monitors Central Operational Support Hub email account, directs emails as needed. 
  • Coordinates purchasing orders and materials. 
  • Drafts communication send-outs to various program sites. 

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Experience preparing PowerPoint presentations, and Excel tracking sheets. 
  • Excellent organization skills.
  • Written communication skills.
